We are seeking a suitable candidate for a 12-month temporary position supporting the Programme Planning Office and Enterprise Group (EG).

Position : Senior Executive, PgPO - Enterprise Group (EG)-Programme Planning Office (PgPO)
Contract Period: Immediate (subject to final approval) - 12months
Salary: $2,853 to $3,780 per month

Job Scope
A. Schedule and Coordinate EG Meetings
. Liaise with Assistant Chief Executive's PA on enterprise level meetings including scheduling and confirming meeting appointments, and securing alternative slots.
. Coordinate meeting logistics arising from confirmed dates, including securing meeting rooms, send calendar invites, issuing updates/cancellation notices, ensuring participants are updated.
B. Support EG Workplan and Organisation Development (OD)Events
. Support the execution of recurring EG Workplan and OD events including participant curation, roster tracking, calendar management, communications with participants, handling cancellations, rescheduling, and notifying of special requirements (e.g. dietary constraints).
. Maintain participants engagement roster, expenditure tracker, and historical participation records to ensure coverage across functions.
. Support purchase of refreshments, logistics and venue booking.
C. Support Project/ Financial Data Reporting
. Support EG's financial reporting activities, including consolidating, validating, and reconciling data across EG templates, RP template, Project Hub, and Finance trackers, etc.
. Perform data reconciliation to resolve discrepancies such as project naming, categorisation, ownership, value.
. Support preparation of summary tables required for leadership discussions and Finance submissions.
. Coordinate with Finance and function Project Managers to resolve simple data gaps, deadline extension and system access issues.
D. Support Enterprise Strategy and Architecting (ESA)Workstream
. Provide logistic support for ESA Taskforce sessions, including preparation and setup of stationery and materials required at the venue.
. Support documentation of Taskforce sessions by recording videos and taking photographs as required, and prepare transcripts.
E. Any Other Administrative Support
. Provide support to the Programme Planning Office and EG, including tasks arising from urgent requests, changes in priorities, or unforeseen needs.
. Assist with general office duties to ensure smooth operation of the Programme Planning Office, and EG especially during peak periods, absences, or time sensitive submissions.
Requirements
. Minimum Diploma or equivalent qualification in Business Administration or a related field.
. Experience in government sector with finance reporting or resource management is advantageous.
. Ability to manage multiple tasks, schedules, and priorities efficiently.
. Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with scheduling and financial reporting tools.
. Strong written and verbal communication skills to interact with stakeholders and coordinate effectively.
. High accuracy in tasks like stocktaking, report generation, and meeting coordination.
. Resourceful and capable of handling minor operational challenges independently.
