Job Purpose
The HR & Admin Executive will be responsible forexecuting day-to-day HR operations and managing administrative functions of the organization, including employee documentation, attendance management, recruitment coordination, office administration, and facility support.
Roles & Responsibilities
1. HR Operations
- Manageemployee joining and exit formalities.
- Maintainemployee personal files and HR database.
- Issueappointment letters, confirmation letters, and relieving letters.
- Maintain HR documentation and records.
2. Recruitment Coordination
- Post job openings on recruitment platforms.
- Screen applications and coordinateinterview scheduling.
- Communicate with candidates regardinginterview schedules and documentation.
- Maintaincandidate database.
3. Attendance & Leave Management
- Trackdaily employee attendance.
- Maintainleave records and attendance registers.
- Preparea weekly attendance summary for payroll processing.
- Monitorlate coming and absenteeism.
4. Payroll Support
- Provideattendance and leave data to accountsfor payroll processing.
- Verify overtime and leave deductions.
5. HR Compliance Support
- Maintainstatutory registers and employee records.
- Maintain documentation related tocontract labour.
6. Employee Support
- Addressemployee queries related to attendance, leave, and HR policies.
- Handlingemployee grievances and communication.
- Supporttraining and employee engagement activities.
Administrative Responsibilities
1.Office Administration
- Manageoffice supplies, stationery, and inventory.
- Maintain office records and administrative documentation.
2.Travel Management
Book domestic & international travel tickets.
Arrange hotel accommodation.
Coordinate visa documentation.
Maintain travel expense records.
3.Facility Management
- Supervisehousekeeping, security, and office maintenance.
- Ensure cleanliness and upkeep ofoffice and factory premises.
- Coordinaterepair and maintenance of office facilities.
4.Vendor & Service Coordination
- Coordinate with vendors foroffice maintenance, housekeeping, and services.
- Monitor service quality and maintain vendor records.
Handle AMC contracts (AC, DG set, elevators, etc.).
Coordinate with utility vendors (electricity, internet).
5.Asset Management
- Maintain records ofoffice assets such as laptops, furniture, and equipment.
- Trackasset allocation to employees.
Qualifications
- Bachelor's degree inHuman Resources / Business Administration / Commerce
- MBA in HR preferred
Experience
- Minimum 4 years of experiencein HR operations or administration
- Experience ina manufacturing environment preferred
