Job Title - Senior Executive - Facility Services
Job Overview:-
Oversee and manage a wide range of administrative operations, statutory compliance activities, Admin services, vendor management, and digital transformation initiatives. The role requires strong coordination skills, analytical capability, and experience in managing contract labor, employee transportation, company vehicle operations, housekeeping services, SAP procurement processes, budgeting, and administrative reporting.

- Educational Qualification - Engineering, M.B.A., or any relevant degree
- Minimum of 6 to 10 years of experience in Facility Management & Administration (preferably from Factory background handling at-least 2000 Headcounts)
- Strong leadership and organizational skills
- Proven experience in facility management and administrative operations
- Excellent communication and interpersonal skills
- Strong knowledge of laws, regulations, and industry standards related to facility management.
- Knowledge of building maintenance practices and safety regulations
- Define and document standard operating procedures (SOPs) and processes for all aspects of facility management operations.
- Establish a Management Information System (MIS) to track activities on a daily, weekly, and monthly basis.
- Budget management and cost control expertise
- Proficiency in contract negotiation
- Ability to manage multiple projects simultaneously

What will you be doing
1. Contract Labor Management
- Manage end-to-end contract labor administration across sites both Skilled, Unskilled & FLT operators across the shifts.
- Ensure compliance with labor laws and statutory requirements applicable to contract workforce.
- Coordinate with contractors for manpower deployment, attendance monitoring, documentation, attrition, aging analysis and performance reviews.
- Maintain contractor records, agreements, licenses, and compliance documentation, wage processing etc.
- Conduct periodic audits to ensure contractor compliance with company policies and legal requirements.
2. Statutory Compliance & Governance
- Ensure adherence to all applicable labor laws, factory regulations, and administrative statutory requirements.
- Monitor and maintain compliance records, licenses, permits, and renewals.
- Coordinate with internal and external auditors during compliance audits.
- Prepare compliance reports and support corrective action implementation.
3. Employee Transportation Management
- Manage employee transportation operations and vendor relationships.
- Ensure route optimization week days & holidays, service quality, safety standards, and cost efficiency.
- Monitor transportation performance metrics, Milage records, vehicle audits, Trip sheets, occupancy reports and employee feedback.
- Handle transportation-related escalations and resolution.
4. Company Car Rental & Fleet Administration
- Manage company vehicle rentals and transportation contracts.
- Coordinate vehicle allocation, utilization tracking, vendor payments, and service-level adherence.
- Monitor fleet-related expenses and optimize operational costs.
5. Attendance Digitalization & Process Improvement
- Drive digital attendance management initiatives and system enhancements.
- Coordinate implementation and maintenance of attendance management systems.
- Ensure data accuracy, reporting, and integration with HR and payroll processes.
- Identify automation opportunities to improve administrative efficiency.
6. Facilities, Housekeeping & Office Administration
- Oversee housekeeping operations to ensure clean, safe, and efficient workplace environments.
- Monitor facility service providers and maintain service quality standards.
- Manage office supplies, stationery inventory, and consumption control.
- Coordinate workspace management and administrative support activities.
7. Printer & AMC Management
- Manage printers, photocopiers, and office equipment maintenance.
- Coordinate Annual Maintenance Contracts (AMC) and vendor performance.
- Ensure timely preventive maintenance and issue resolution.
- Monitor service levels and maintenance costs.
8. SAP Procurement (PR & PO Process)
- Create and process Purchase Requisitions (PR) and Purchase Orders (PO) through SAP.
- Coordinate with procurement, finance, and vendors for timely processing.
- Track procurement activities and ensure compliance with purchasing policies.
- Maintain procurement records and support invoice reconciliation.
9. Budgeting & Cost Control
- Prepare annual administrative budgets and forecasts.
- Track budget utilization and control administrative expenditures.
- Analyze cost trends and identify cost-saving opportunities.
- Generate periodic MIS reports and management dashboards.
10. Presentation, Reporting & Data Analytics
- Develop management presentations, dashboards, and executive reports.
- Analyze operational data and generate actionable insights.
- Track key performance indicators (KPIs) related to administration functions.
- Support leadership with data-driven recommendations and business reviews.
