Role Purpose

The Student Welfare Officer is responsible for advancing student well-being, safety, engagement, and holistic development. Key Responsibilities

1. Student Support & Welfare

  • Serve as a primary point of contact for students navigating personal, academic, social, or campus-life challenges.
  • Provide active listening and facilitate appropriate support, guidance, and issue resolution.
  • Proactively identify students requiring intervention and coordinate support across appropriate departments.
  • Uphold strict confidentiality and professional ethics while handling sensitive student matters.

2. Student Engagement & Development

  • Design and execute initiatives focused on mental well-being, belonging, leadership, life skills, and holistic growth.
  • Support and guide student clubs, committees, peer-mentorship programs, and student-led activities.
  • Foster an inclusive environment that encourages active participation, peer interaction, and community building.
  • Lead the coordination of student orientation, induction programs, awareness campaigns, and welfare events.

3. Grievance & Conflict Resolution

  • Receive, log, and maintain records of student grievances and formal concerns.
  • Coordinate with campus authorities to ensure timely and fair resolution of issues.
  • Facilitate mediation and constructive problem-solving for interpersonal conflicts among students.

4. Student Safety & Safeguarding

  • Partner with hostel, security, medical, administrative, and academic units to maintain campus safety standards.
  • Assist in managing student emergencies, safety incidents, and urgent welfare matters.

5. Hostel & Residential Welfare

  • Liaise effectively between students, hostel wardens, administrative staff, and parents/guardians when necessary.
  • Contribute to building a positive, respectful, and supportive residential community.

6. Mentorship & Peer Support

  • Oversee and manage student mentor/mentee and buddy frameworks.
  • Track program participation, evaluate engagement, and ensure regular follow-ups and reporting.

7. Health & Well-being Initiatives

  • Organize wellness activities and campaigns centered on physical, emotional, and social health.
  • Cultivate a stigma-free campus environment where students feel comfortable seeking help.

8. Student Conduct & Discipline

  • Drive awareness and understanding of the institutional student code of conduct.
  • Emphasize educational, preventive, and corrective approaches to discipline rather than purely punitive measures.

9. Documentation & Reporting

  • Maintain detailed, confidential records of student cases, interventions, events, and outcomes.
  • Prepare comprehensive periodic reports on student welfare trends, activities, and emerging issues.
  • Track ongoing cases to ensure timely resolution, required follow-up, or appropriate escalation.
  • Adhere strictly to institutional data protection and confidentiality standards.

Key Skills & Competencies

  • Exceptional interpersonal and empathetic communication skills
  • Active listening, emotional intelligence, and professional maturity
  • Strong conflict resolution, mediation, and problem-solving capabilities
  • Proven ability to manage sensitive, confidential information with discretion
  • Calm decision-making and crisis-management abilities in high-pressure situations
  • Dedicated student-centric mindset
  • Excellent documentation, case tracking, and reporting skills
  • Demonstrated success in organizing events, programs, and community initiatives
  • Sound knowledge of student development, safeguarding practices, and institutional policies

Educational Qualification & Experience

  • Bachelor's or Master's degree in Psychology, Social Work, Education, Student Affairs, Human Resources, Management, or a related field.
  • 3–5 years of relevant experience in student affairs, student welfare, counselling coordination, residential life administration, or educational management.
  • Direct experience within a higher education institution, residential campus, school, or university environment is preferred.
