Title: Coordinator, GPS India Events
Location: Bangalore, India
Reports to: Manager, APAC Events (Singapore)
Role Summary
Supports GPS India Events and India GPS Operations teams by coordinating event operations at client locations. Manages event intakes, registration, communications, vendors, and reporting through event management tools to ensure consistent, high-quality event delivery.
Key Responsibilities
Event Operations & Technology
- Support Event Specialists with event intakes, event order tools, and post-event records.
- Build and manage event registrations/sites (Eventurf); handle attendee inquiries.
- Flag inconsistencies and maintain clean event documentation.
- Coordinate event set-ups and tear-downs, including catering, AV, janitorial, and security.
- Conduct space walkthroughs to ensure event readiness.
- Support event budgeting and actuals tracking.
- Prepare materials, notes, and follow-ups for planning and operational meetings.
- Maintain event trackers, reports, and databases.
Stakeholder & Vendor Coordination
- Partner with Event Specialists and cross-functional teams (Legal, Facilities, IT/AV, Finance, Security).
- Liaise with vendors to ensure smooth service delivery.
- Support procurement, vendor onboarding, contracting, and vendor management.
- Track and consolidate event financials.
- Escalate vendor performance issues, risks, or inconsistencies early.
Event Communications and Reporting Support
- Draft internal communications, signage, and post-event materials (recaps and video content) using Adobe Express/Canva.
- Design and format event communications (invitations, digital posters, EDMs, stakeholder updates).
- Localize regional templates while maintaining client brand tone and standards.
- Support presentations, reports, and visual materials for event planning and leadership updates.
- Maintain documentation and templates for consistent event delivery.
Qualifications
Required
- 2–4 years of experience in events, operations, hospitality, or administration.
- Strong attention to detail, organizational skills, and clear communication in English.
- Ability to manage multiple priorities and work flexible hours.
- Comfort with Cvent, Momentus, Canva, or Adobe Express.
Preferred
- Experience with event registration systems and attendee management.
- Familiarity with Adobe Express, Canva, and PowerPoint.
- Prior exposure to corporate or multi-stakeholder events.
- 5+ years of experience in events/hospitality/program management with leadership exposure.
- Proficiency in Microsoft Office.
