We are looking for a DocuWare Consultant who can support, design, and optimize workflows and enable internal teams to operate DocuWare independently.
This is a consultative and hands-on role focused on workflow configuration, process design, and business enablement rather than classical software development.
Key responsibility is to analyse business processes, implement DocuWare workflows, and improve operational efficiency across teams while ensuring smooth adoption of the platform.
Please note that this role does not involve core product customization or traditional development (Java/.NET/frontend) but focuses on configuration, consulting, and workflow optimization.

Your tasks
- Designing, configuring, and implementing DocuWare workflows, including approval and document-driven processes such as invoice handling
- Configuring DocuWare document structures, including index fields, metadata, document types, user roles, and permissions
- Optimizing existing workflows for stability, performance, and usability
- Acting as a DocuWare Subject Matter Expert by advising on best practices and translating business requirements into DocuWare configurations
- Enabling and guiding internal teams through knowledge transfer and supporting gradual internal ownership
Requirements
- Minimum of 5 years of relevant experience and proven hands-on expertise in DocuWare
- Strong knowledge of DocuWare Workflow Designer, including workflow rules, conditions, statuses, and escalations
- Experience with ECM / DMS solutions and audit-proof archiving, including audit trails and retention management
- Fluent English communication skills required, with a strong ability to communicate with stakeholders
- Senior mindset with the ability to guide, explain, challenge solutions, and work independently in a structured manner
Nice to have
- DocuWare REST API experience for system integration and automation
- Experience integrating DocuWare with ERP, Finance, and HR systems
- SaaS / Cloud environment experience with deployment and operations understanding
- German language skills (nice to have) for stakeholder communication in multilingual environments
