Job Description

The Role

An exciting opportunity has arisen to work as part of a multidisciplinary team within the Alcohol and Drugs Recovery Service (ADRS) admin team, supporting clinical leads and senior managers. This is a Band 4, Senior Business Support Assistant post.

The post holder will provide secretarial and administrative support to management staff based within the ADRS Central team. The post holder is required to organise and develop office systems and will act as a central point of contact for managers, leads, patients and other health and social care staff.

Duration, Location, and Working Pattern:

Permanent, Full-time

Base location -Festival Business Park

Shift Pattern - Monday - Friday, 9 am-5 pm

Key Responsibilities

  • Provide full secretarial and administrative support for managers and teams, acting as the main point of contact.
  • Manage all correspondence and enquiries, including email, mail, calls, and complaints, drafting or responding as appropriate.
  • Produce accurate documents, reports, presentations, and data extracts; source and collate information from multiple systems and online sources.
  • Plan and manage diaries, coordinate meetings/events, prepare papers, take minutes, and handle meeting logistics and hospitality.
  • Maintain and review filing systems, databases, attendance/sickness records, expenses, and prescription‑related information; operate bring‑forward systems.
  • Order supplies, manage stationery/consumables, arrange catering, and coordinate building and IT access for new staff.
  • Organise travel and accommodation through procurement processes.
  • Support budget monitoring, process purchase requisitions, confirm receipt of goods/services, and address invoice queries.
  • Provide cross‑cover for administrative colleagues, assist with induction, and potentially supervise clerical staff or trainees.
  • Uphold health and safety responsibilities, potentially including roles such as fire warden or assessor.

Knowledge, training, qualifications and/or experience required to do the job:

  • Must show competence in the use of a range of computer packages, evidenced by experience or formal qualification, e.g. ECDL
  • Conversant with office procedures and systems and able to demonstrate prior experience of working in a secretarial or administrative role.
  • Recognised qualification in Administration equivalent to HNC in Secretarial Studies or Business Administration, or SVQ in Administration at Level 3, or significant relevant equivalent practical experience.
  • Advanced keyboard skills.
  • Good command of verbal and written English.
  • Organisational skills, including the ability to deal with a range of non-routine tasks, apply problem-solving and manage conflicting demands.
