Key Responsibilities:
Vendor Sourcing & Onboarding
- Identify and shortlist new vendors across dcor, venues, F&B, entertainment, logistics, photography, makeup, etc.
- Evaluate vendor quality, portfolio, pricing, and service capabilities
- Negotiate commercials, terms, and partnership agreements
- Onboard vendors and ensure complete documentation
Vendor Relationship Management
- Maintain strong, ongoing relationships with existing vendors
- Act as the point of contact for vendor communication and issue resolution
- Conduct performance evaluations and feedback sessions
- Ensure adherence to The Wedding Company's standards and service levels
Operational Coordination
- Align vendor offerings with client event needs and internal planning teams
- Coordinate timelines, deliverables, and logistics for events
- Manage vendor escalations or last-minute challenges during event execution
- Ensure vendors follow budgets, timelines, and agreed-upon commitments
Data Management & Reporting
- Maintain updated vendor database, rate cards, and contracts
- Track KPIs for vendor performance, cost efficiency, and service reliability
- Prepare weekly/monthly MIS reports for management
- Ensure accurate documentation of all vendor agreements and communication
Required Skills & Competencies
- Strong vendor management and negotiation skills
- Excellent communication and interpersonal abilities
- Understanding of the wedding/events/hospitality ecosystem
- Ability to multitask and perform under deadlines
- Strong analytical, documentation, and coordination skills
- Proficiency in Excel, Google Sheets, and CRM tools
Qualifications
- Bachelor's degree in Business, Hospitality, Event Management, or related field
- 5-8 years of experience in vendor/supply partnerships (weddings/events preferred)
