We are seeking a proactive and orgranised Senior/ Associate Executive to provide administrative support to the department to ensure smooth operations.
The key responsibilities of the incumbent is as follows:
- Manage the implementation of institutional and departmental project initiatives and quality improvement activities
- Collaborate with internal departments and stakeholders, partners and vendors to support system enhancements, technological implementations, and digitalization initiatives
- Support IT services, including user access review for non-clinical systems and data storage device management.
- Assist in the preparation of reports, presentations and management papers for internal and external stakeholders
- Coordinate meetings, prepare agendas, record minutes and ensure timely follow up on action items
- Manage correspondence, filing systems and departmental records
- Plan and coordinate departmental events
- Maintain and coordinate procurement of departmental office supplies and equipment
- Coordinate staff onboarding and offboarding processes, including system access requests, laptop and IT equipment provisioning.
Requirements
- Recognised Diploma in Business or its equivalent with at least 2 years of relevant administrative experience preferably in healthcare sector
- Good interpersonal and communication skills
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint), including the use of Excel formulas, functions, lookup tool (e.g. VLOOKUP)
- Comfortable learning and adopting new digital tools for operational needs
- Strong organisational and time management skills
- Meticulous, resourceful and able to work independently
