Job Description

Key Responsibilities

Transition Management

  • Lead payroll transition projects for new outsourced clients.
  • Develop and execute detailed transition plans, timelines, and project milestones.
  • Coordinate onboarding activities with clients
  • Conduct transition governance meetings and provide regular status updates to stakeholders.

Process Discovery & Documentation

  • Document current payroll processes, policies, workflows, and controls.
  • Identify process gaps, risks, and improvement opportunities.
  • Create Standard Operating Procedures (SOPs), process maps, and knowledge repositories.
  • Validate payroll calendars, pay elements, statutory requirements, and reporting needs.

Knowledge Transfer & Training

  • Facilitate knowledge transfer sessions with client SPOCs.
  • Ensure complete process understanding.
  • Support training and readiness assessments for payroll delivery.
  • Develop transition and operational documentation for future reference.

System & Data Migration

  • Coordinate payroll data collection, validation, and migration activities.
  • Support parallel payroll runs, User Acceptance Testing (UAT), and reconciliation activities.
  • Ensure data security and confidentiality throughout the transition process.

Compliance & Risk Management

  • Ensure compliance with local labor laws, tax regulations, and payroll statutory requirements.
  • Identify transition risks and develop mitigation plans.
  • Maintain audit-ready documentation and controls.
  • Support governance reviews and compliance audits.

Stakeholder Management

  • Serve as the primary point of contact during the transition phase.
  • Build strong relationships with client stakeholders and internal teams.
  • Manage expectations and resolve transition-related issues promptly.
  • Provide executive-level updates on project progress and risks.

Stabilization & Handover

  • Support post-go-live payroll operations during the stabilization period.
  • Monitor service performance against agreed SLAs and KPIs.
  • Ensure a smooth handover to the steady-state payroll operations team.
  • Document lessons learned and continuous improvement opportunities.

Required Qualifications

  • Bachelor's degree
  • 3-5 years of experience in payroll transition, from outsourcing services.
  • Experience working with multi payroll environments is preferred.
  • Knowledge of payroll systems Ascent.
