Job Description

We are looking for an experienced professional to manage Administration & Facility Operations across office, warehouse, production, and cleanroom environments.

Experience Range: 6-8 years

Targeted Industry

Experience in manufacturing, industrial, warehouse, defence, or corporate environments preferred.

Roles and responsibilities:

  1. Administration & Facility Management
  2. Manage daily office administration activities and ensure smooth functioning of all facilities.
  3. Coordinate maintenance activities for office, warehouse, production, and cleanroom areas.
  4. Handle AMC management for office equipment, utility systems, housekeeping, pest control, DG systems, HVAC, lifts, and other facility infrastructure.
  5. Ensure compliance with workplace safety, security, and housekeeping standards.
  6. Coordinate seating arrangements, office expansion, and infrastructure modifications.
  7. Vendor & Contract Management
  8. Coordinate with vendors for facility services, cafeteria, transportation, housekeeping, security,

and maintenance activities.

Monitor vendor performance against SLAs and contractual obligations.

Process purchase requests, service requests, quotations, work orders, and invoices.

Maintain vendor documentation, agreements, and statutory records.

Administrative Coordination

Support employee onboarding infrastructure requirements including ID cards, access control,

seating, assets, and workstations.

Coordinate travel bookings, accommodation, courier services, and transportation

requirements.

Maintain records related to administration budgets, inventories, consumables, and office

assets.

Handle visitor management coordination and front-office administrative activities.

Documentation & Compliance

Maintain administrative SOPs, policies, checklists, and operational records.

Support ISO 27001 administrative compliance requirements related to physical security and

facility controls.

Coordinate statutory inspections, fire safety audits, and facility compliance documentation.

Prepare reports, MIS dashboards, and status updates for management review.

Team Coordination

Coordinate with housekeeping, security, cafeteria, and support staff teams.

Ensure timely closure of administrative issues and escalation management.

Support cross-functional coordination with HR, IT, EHS, Projects, and Operations teams.

Knowledge of HVAC, DG, electrical & utility coordination, fire safety, emergency response,

access control, visitor management systems, ERP/Admin software (SAP, Oracle, Zoho), and MS

Office including Advanced Excel, Word, PowerPoint

Education Qualification: Bachelor's Degree in Administration, Management, Commerce, or

related field.
