Job Description
We are seeking an experienced, hands-on Senior Accountant / Full-Charge Bookkeeper to take ownership of the day-to-day accounting and financial recordkeeping for a growing technology professional services company.
Our business includes technology staffing, T&M and fixed-price consulting projects, offshore services, and software, SaaS and technology product resale. This position requires someone who can go beyond transaction entry and understand how revenue, costs, customer billing, payroll/subcontractor expenses, product purchases, partner incentives and gross margins connect.
The ideal candidate is highly detail-oriented, strong in QuickBooks Online and Excel, and capable of independently maintaining accurate books, performing reconciliations, completing month-end close and producing reliable financial and management reports.
Key Responsibilities
Own day-to-day bookkeeping and general ledger accounting in QuickBooks Online, including transaction classification and journal entries.
Manage and reconcile Accounts Receivable and Accounts Payable, customer payments, vendor bills, credits and outstanding balances.
Perform monthly bank, credit card and balance sheet reconciliations and maintain supporting schedules.
Prepare accruals, prepaid expenses, depreciation, payroll adjustments and other month-end journal entries.
Perform monthly, quarterly and year-end close and review the trial balance for accuracy.
Prepare P&L, Balance Sheet, Cash Flow, A/R Aging, A/P Aging and other management reports.
Reconcile staffing and T&M revenue against timesheets, client billing rates, payroll and subcontractor costs.
Track revenue, billing, costs and profitability for fixed-price and professional services projects.
Reconcile software, SaaS and technology product sales, including customer invoices, purchase orders, distributor/vendor invoices, COGS, credits and collections.
Track and reconcile technology partner incentives and rebates, including programs from partners such as IBM. Match expected incentives to actual payments and underlying customer/product transactions and investigate discrepancies.
Perform monthly revenue and gross-margin reconciliation by client, consultant, project, service line and product transaction.
Maintain accurate accounting for accrued/unbilled revenue, deferred revenue, partner incentive receivables, payroll liabilities, sales-tax liabilities and intercompany transactions, as applicable.
Assist with sales-tax reconciliation and coordination with Avalara.
Reconcile financial information across QuickBooks Online, Zoho, CEIPAL, Excel and other operational systems.
Prepare schedules and documentation for external CPAs, tax advisors, banks, insurance audits and other financial requirements.
Identify accounting discrepancies, investigate root causes and drive them through resolution.
Help improve and automate recurring accounting, reconciliation and reporting processes.
What We Are Looking For
Bachelor's degree in Accounting, Finance or related field.
5+ years of progressive accounting/bookkeeping experience.
Strong proficiency with QuickBooks Online.
Intermediate to advanced Microsoft Excel skills, including PivotTables, XLOOKUP/VLOOKUP, SUMIFS and reconciliation/analysis.
Strong understanding of GAAP, general ledger accounting, A/R, A/P, journal entries, accruals and month-end close.
Demonstrated experience performing balance sheet reconciliations and preparing financial statements.
Experience with professional services, staffing, consulting, technology, software/SaaS resale or project accounting strongly preferred.
Experience reconciling rebates, incentives, commissions, vendor credits or partner programs is a plus.
CPA, CMA or Certified Bookkeeper designation is preferred but not required.
The Right Person for This Role
We are looking for someone who does more than record transactions. You should be comfortable following a transaction from beginning to end—for example:
Customer Sale → Customer Invoice → Vendor/Consultant Cost → Customer Collection → Partner Incentive/Rebate → Gross Profit
You should be able to identify when something does not reconcile, determine why, and work with the appropriate internal or external team to resolve it.
This is a hands-on position for someone who takes ownership of the books, understands the business behind the numbers, and can provide management with accurate and timely financial information.
