The White Willow is a bootstrapped, founder-led home comfort and wellness brand established in 2015. We design and manufacture 200+ products — memory foam pillows, wedge cushions, seat cushions, mattress toppers, and kids ranges — sold across our own D2C website, Amazon, Flipkart, Nykaa, FirstCry, and quick commerce platforms.

About the Role
We are looking for a Finance Manager to own financial operations across four legal entities: The White Willow, Kreate Konnect, WWHSPL, and Calmnook LLC (US entity).
You will not be working alone. You will lead and coordinate a structured finance team that includes two specialist CAs (one for bookkeeping and entries, one for monthly audit and compliance) and an operations support specialist. Your job is oversight, decision-making, compliance coordination, banking relationships, and financial reporting — not data entry.
This is a full-time, on-site role based in Vadodara, Gujarat, reporting directly to the Founder & CEO.
What You Will Do
Financial Operations
- Oversee all payables and receivables across all entities
- Review and approve vendor payments — logistics, warehouse, raw materials, services, and subscriptions
- Monitor daily payment gateway settlement reports and flag discrepancies
- Manage credit card dues across all entities — track billing cycles, ensure zero delays
- Oversee monthly payroll — review salary sheets, coordinate PF/ESIC compliance, confirm disbursements
- Manage all recurring payments — rent, utilities, platform subscriptions, and agency invoices
GST, TDS & Statutory Compliance
- Own the full GST cycle in coordination with the compliance CA — monthly filings, ISD mechanism, and state-level registrations
- Manage quarterly TDS submissions and reimbursement claims across all platforms
- Drive annual statutory renewals — state-specific registrations and compliance obligations
- Coordinate with company secretary for MCA filings and corporate compliance
Marketplace & Revenue Reconciliation
- Own reconciliation of receipts from all sales channels against books — D2C, marketplaces, and B2B distributors
- Manage marketplace-specific compliance — invoice approvals, payment follow-ups, and credit note disputes
- Handle export compliance — banking submissions for shipping bills and foreign remittances
Banking & Treasury
- Own relationships with multiple banks — KYC, GSTIN updates, account documentation, and RM coordination
- Ensure all banking compliance requirements are met with zero open items
Audit & Reporting
- Drive the annual statutory audit end-to-end with external auditors
- Prepare monthly P&L reports for each entity and present to the CEO
- Provide quarterly financial data for advance tax computations
- Oversee US entity annual compliance in coordination with international accounting partners
Team Management
- Guide and coordinate the finance team — bookkeeping CA, audit CA, and operations support
- Build and maintain centralised trackers for all financial data assets and filing calendars
- Identify process gaps and fix them proactively
What We're Looking For
Must-Have
- 4 to 8 years of experience in finance and accounts management — preferably in a D2C, product, or e-commerce company
- Proven experience managing or coordinating a team that includes CAs or support staff
- Hands-on working knowledge of GST, TDS, and payroll compliance
- Experience managing multi-entity finance — at least 2 legal entities simultaneously
- Comfortable with Zoho Books or a similar accounting platform
- Strong ownership mindset — if something is open, it stays your responsibility until it is closed
- Based in Vadodara or willing to relocate — this is a full-time, on-site role
Good to Have
- Experience with marketplace reconciliation — understanding of how D2C and marketplace settlements work
- Prior exposure to banking compliance — GSTIN updates, KYC submissions, export documentation
- Experience managing a high-volume finance inbox
- Familiarity with any project management tool (Asana or similar)
- Exposure to international entity compliance (a plus, not a requirement)
