Job Responsibilities
The Advanced level Sample Handling Assistant III is accountable for the receipt and the processing of data registration from requisition forms and is responsible to research and resolve problems liaising with Project Management, Specimen Management, Investigator Support, Laboratory and Data Revision Center for timely resolution. The Sample Handling Assistant III will also provide support to the team and supervisor.
Performs main functions of the department as needed, which includes but not limited to:
- Accessioning: First & Second entry of patient demographics and administrative questions displayed on requisitions completed in a timely manner
- Responsible for completing various batches according to their urgency and defined turnaround time.
- Perform Accessioning or Data entry process under supervision of trainer with the expectations to perform Accessioning process independently after completion of training
- Check and clean the CPP report
- Check and clean the AD Pending
- Creation of Batches using ImageNow and exporting them in Excel
- Distribution of batches to teamwide, i.e. workload dealing
- Verification of incoming volumes compared to the created batches, i.e. Volume Analysis
- Email follow up with stakeholders
- Same duties as for Sample Handling Assistant I and II.
- Assist management and assigned workflow leads to ensure daily optimal workflow organization and workload completion in all areas.
- Act as a trainer/mentor for any new hire or inbound transfers.
- Help Standard and Proficient levels in researching and resolving issues.
- Handle emails of the department. Reply to emails independently.
- Follow up on inactive projects on CPP report.
- Follow up with other departments for any pending items - Maintain and update multi pending lists in Zavacor.
- Lead the team to meet departmental goals.
- Perform administrative duties under supervision.
- Analyze and evaluate new process improvement proposals.
- Lead the implementation of process changes within the department.
- Mentor potential employee for succession planning.
- Demonstrate flexibility by doing other duties assigned, such as assisting in writing SOPs or acting as a subject matter expert for the department.
- Assumes leadership role in the supervisor's absence to include but not limited to:
- Organizing assignments during the workday.
- Acting as a resource for internal customers
Additional Responsibilities:
- Ensure received batches are timely processed.
- Generate an appropriate audit trail of all activities.
- Perform On-call and after-hours duties as needed.
- Ensure concerned SOPs are timely read.
- Adhere to all company policies and procedures and perform all departmental and interdepartmental SOPs as written.
- Adhere to Home Office Policy stated by the company.
- Perform all required training.
- Maintain the training file correct and up to date.
- Ensure proper documentation is made for future reference.
- Work well within team environment.
- Generate new ideas for departmental process improvement.
Minimum Qualifications
Bachelor's Degree in Science
Preferred Qualifications
3 years of work experience in a clinical research industry
