Sales Operations & Onboarding Coordinator

Role Overview
DynPro is hiring a Sales Operations & Onboarding Coordinator to support our sales, recruiting, and delivery operations. You'll keep our systems, reporting, and onboarding workflows accurate, up to date, and moving within SLA. This is a coordination-heavy role that needs strong follow-through, comfort with data, and confidence communicating with multiple stakeholders.
Key Responsibilities
- Maintain CRM/ATS data hygiene (JobDiva or similar) including pipeline stages, activities, notes, and required fields
- Prepare and publish weekly/monthly reporting for leadership (pipeline, activity, conversions, deal velocity, operational KPIs)
- Maintain resourcing trackers, onboarding trackers, and operational dashboards; ensure data accuracy across sources
- Support deal execution by coordinating proposals, templates, case studies, and approval steps
- Manage and update client portal/VMS workflows (Fieldglass, Beeline, Magnit, Workday or similar) as required by accounts
- Coordinate candidate/contractor/supplier onboarding end-to-end and ensure completion within defined SLAs
- Communicate onboarding steps, timelines, and missing items clearly to candidates, suppliers, recruiters, and internal teams
- Partner with HR/Payroll/Finance on onboarding dependencies (documents, compliance, timesheet setup, PO/assignment inputs)
- Identify workflow gaps and suggest improvements to reduce delays, rework, and data issues
- Support periodic audits, data cleanups, and process documentation for scale and consistency
Required Skills & Qualifications
- 35 years in sales operations, staffing operations, onboarding coordination, or similar execution-heavy roles
- Strong Excel skills (XLOOKUP/VLOOKUP, pivot tables, formulas, basic analysis)
- Experience with ATS/CRM systems (JobDiva preferred; Salesforce/HubSpot acceptable)
- Experience working with VMS/client portals (Fieldglass/Beeline/Magnit/Workday or similar)
- Strong written and verbal communication; able to coordinate with clients, candidates, internal teams, and suppliers
- High attention to detail, strong ownership, and comfort working across multiple systems simultaneously
- Basic understanding of IT staffing/consulting roles and skills (Salesforce, ERP, Data/AI, general engineering)
- Process mindset: you don't just track problemsyou help fix the workflow
Preferred Qualifications
- Experience in IT services, IT staffing, or professional services environments
- Exposure to B2B sales operations and reporting rhythms (weekly pipeline reviews, monthly ops reporting)
- Ability to troubleshoot portal/workflow issues and coordinate resolution proactively
