Role Overview
We are seeking a motivated Speaker Sales Executive responsible for communicating with senior-level business executives across the globe and selling opportunities to attend our international conferences. The role requires strong sales ability, relationship management skills, and attention to operational coordination tasks related to event execution.
Why This Role Exists
This role exists to ensure smooth coordination and execution of conference production activities by managing speaker communications, content updates, and event preparation tasks. The position helps maintain timely follow-ups with speakers, accurate agenda updates, and proper coordination with internal teams to ensure that all event materials, scripts, and promotional assets are prepared correctly and delivered on schedule. By handling these responsibilities efficiently, the role supports the overall success and professionalism of the organization's events.
Key Responsibilities
Sales & Business Development
Communicating with senior-level business executives around the globe and selling the opportunity to attend one of our conferences.
Ensure timely follow-up and conversion of business from an inbound lead system and prospective clients.
Provide effective lead management and marketing efforts for sales generation to achieve sales targets.
Conduct and manage targeted telemarketing and email campaigns to generate sales on a designated campaign.
Drive and manage sales in the industry through engaging and developing relationships with clients.
Penetrate and understand individual customer needs and create more opportunities to cross-sell.
Identify and investigate growth opportunities for the company through existing database and market research.
Offer end-to-end client relationship management and customer service for increased business.
Market research and development of an existing database for eventual lead generation.
Understand the client's industry and map potential sub-sectors to create new business opportunities.
Developing new ideas and working with your team to integrate and share best practices.
Provide market intelligence, data analytics and insights for the marketing team to launch the right promotional and customer communication initiatives.
Speaker Coordination & Event Support Responsibilities
Speaker Follow-ups:Maintain regular communication with potential and confirmed speakers to ensure smooth coordination, timely confirmations, and effective engagement throughout the speaker onboarding process.
Speaker Banner & Bio Coordination:Coordinate with speakers to obtain their photographs and biographies and share the required materials with the internal design team for banner creation. Monitor progress and follow up internally to ensure timely completion of all speaker profile and promotional assets.
Agenda Management:Update and maintain event agendas based on guidance from the relevant internal teams, ensuring that all updates are accurately reflected and shared with stakeholders as required.
Event Script Preparation:Prepare comprehensive event scripts for assigned events in advance, ensuring that all relevant event details, speaker information, and session flow are clearly documented and organized.
Reporting & Administrative Responsibilities
To update the CRM with daily lead statuses and maintain and manage a clean database.
Producing reports for senior managers and maintaining activity and disposition reports.
Managing time effectively and liaising with managers to engage in weekly feedback meetings.
Adhere to proper business work ethics and be able to work independently and in a timely manner according to a range of international business hours.
Working Hours
Working timings will be from 6:30 PM to 3:30 AM, Monday to Friday to accommodate international time zones.

Candidates must be able to reliably commute to or relocate to Vadodara, Gujarat before starting work (Required).
