We are looking for a highly organized and proactive Sales Coordinator to support our sales and business development teams, coordinate with prospects and clients, manage sales documentation, track leads and follow-ups, and ensure smooth execution of the sales process.

Job Summary

The Sales Coordinator will act as a key coordination point between the Sales Team, Business Development Team, Management, Clients, and Internal Departments.

The candidate will be responsible for managing sales enquiries, preparing quotations and proposals, coordinating meetings, tracking leads and follow-ups, updating CRM, monitoring order/service status, preparing MIS reports, and ensuring that sales opportunities move smoothly from lead generation to closure and customer onboarding.

The ideal candidate should have excellent communication, coordination, documentation, follow-up, and organizational skills.

Key Roles & Responsibilities

1. Sales Coordination

Coordinate daily activities of the Sales and Business Development teams.

Track sales enquiries and opportunities.

Ensure timely follow-up on all active prospects.

Coordinate between sales executives and internal departments.

Monitor pending sales activities and escalate delays.

Maintain accurate sales trackers.

2. Lead & Enquiry Management

Receive and record enquiries from calls, WhatsApp, email, websites, social media, and other channels.

Assign leads to appropriate sales executives.

Track lead status from initial enquiry to closure.

Ensure every qualified lead has a defined next action.

Maintain an updated lead database.

3. Client Communication

Communicate professionally with prospects and existing clients.

Share company information, service details, proposals, quotations, and other documents.

Respond to routine customer queries.

Coordinate meetings between clients and sales representatives.

Send meeting confirmations and reminders.

Maintain professional follow-up with prospects.

4. Quotation & Proposal Coordination

Prepare quotations, proposals, presentations, and commercial documents as instructed.

Coordinate with management for pricing and commercial approvals.

Share approved proposals with clients.

Track proposal status and follow up for feedback.

Maintain records of submitted quotations and proposals.

5. Follow-Up Management

Maintain daily, weekly, and monthly follow-up schedules.

Track pending enquiries and proposals.

Remind sales executives about important follow-ups.

Follow up with clients regarding meetings, proposals, decisions, and onboarding.

Ensure no important sales opportunity is missed due to lack of follow-up.

6. CRM Management

Update CRM records regularly.

Record calls, meetings, follow-ups, proposals, and client interactions.

Maintain accurate customer information.

Update sales stages and opportunity status.

Ensure CRM data is complete and up to date.

7. Sales MIS & Reporting

Prepare:

Daily Sales Activity Report

Lead Generation Report

Follow-Up Report

Sales Pipeline Report

Proposal Report

Conversion Report

Client Acquisition Report

Weekly Sales Performance Report

Monthly Sales MIS

Pending Activity Report

Provide accurate information to Sales Managers and senior management.

8. Sales Team Support

Assist Sales Executives and BDEs with prospect information and documentation.

Coordinate client meetings and presentations.

Provide required sales materials.

Track individual sales activities.

Support sales executives in maintaining their pipelines.

Coordinate internal requirements related to sales opportunities.

9. Customer Onboarding Coordination

Coordinate with clients after successful sales closure.

Collect required information and documents.

Coordinate with operations/service delivery teams.

Ensure smooth handover from Sales to Operations.

Track initial customer requirements and implementation status.

10. Sales Performance Tracking

Monitor individual and team sales activities.

Track calls, meetings, proposals, follow-ups, and conversions.

Compare actual performance with assigned targets.

Highlight gaps and pending activities to management.

Support sales managers in preparing performance reviews.

11. Internal Coordination

Coordinate with:

12. Customer Relationship Support

Maintain regular communication with existing clients.

Track customer requirements and pending issues.

Coordinate with relevant departments for resolution.

Identify opportunities for repeat business, upselling, and cross-selling.

Support customer retention activities.

13. Market & Sales Research

Research prospective companies and decision-makers.

Prepare company profiles before important meetings.

Collect competitor and market information.

Identify potential industries and customer segments.

Support the sales team with relevant business intelligence.

14. AI & Digital Sales Support

Use modern tools to improve sales productivity, including:

Sales automation tools

Use AI for prospect research, email drafting, proposal preparation, reporting, data analysis, and routine sales coordination.

Requirements & Qualifications

Educational Qualification

Bachelor's degree in Business Administration, Commerce, Marketing, Management, or any related discipline.

MBA/PGDM will be an added advantage.

Experience

1–4 years of experience in Sales Coordination, Sales Support, Business Development, Customer Service, Inside Sales, or Administration.

Experience in B2B sales or service-based organizations will be preferred.

Freshers with excellent communication and organizational skills may also be considered.
