Job Purpose
To lead and oversee the overall sales coordination process, ensuring seamless communication between Sales, Production, Dispatch, Accounts, and Customer Service teams. You will play a pivotal role in order processing, planning, tracking, and ensuring timely delivery of products to customers, while maintaining high accuracy, documentation standards, and customer satisfaction.
Key Responsibilities
- Lead Generation & Client coordination:
- Conduct targeted research to identify potential clients and qualify high-value leads.
- Use CRM tools to track prospects, manage pipelines, and ensure consistent follow-ups.
- Initiate outreach through calls, emails, and social platforms to generate new business opportunities.
- Coordinate with clients to understand their needs and schedule meetings or demos efficiently.
- Maintain clear communication between teams and clients to ensure smooth onboarding and long-term relationships.
- Sales Coordination & Order Management:
- Oversee end-to-end sales coordination from sales order entry to invoice generation and dispatch.
- Ensure all sales orders are accurately entered in the MS Navision BS 365 ERP / Rattus software and properly communicated to Production & Dispatch teams.
- Monitor and follow up on order status, delivery schedules, and dispatch plans on a daily basis.
- Coordinate with the production planning department to align customer requirements with production timelines.
- Verify and ensure accuracy of customer details, pricing, taxes, and product specifications before order confirmation.
- Customer & Internal Communication:
- Serve as the primary point of contact for internal and external communication related to order processing, delivery, and dispatch.
- Liaise with customers regarding order acknowledgments, delivery commitments, and dispatch documentation.
- Handle customer queries and resolve issues related to delivery schedules, documentation, or invoicing.
- Maintain healthy business relations and ensure customer satisfaction through effective coordination and timely responses.
- Dispatch & Logistics Coordination:
- Coordinate with the Dispatch and Security Gate team for smooth material movement and gate entry/exit documentation.
- Ensure all dispatches are in compliance with company policies and customer requirements.
- Oversee preparation of delivery challans, packing lists, transport documents, and ensure dispatch records are accurately maintained.
- Track and report dispatch performance metrics to management.
- System & Process Management:
- Supervise the effective operation of BS 365 ERP / Rattus software for all order and dispatch-related activities.
- Ensure all sales data, reports, and documentation are updated, accurate, and available for audits.
- Identify and implement process improvements to enhance operational efficiency.
- Train and guide team members (Sales Coordinators / Executives) to ensure smooth workflow and data accuracy.
- Reporting & Analysis:
- Prepare and share daily/weekly/monthly Sales Order, Dispatch, and Pending Order reports with Management.
- Track performance metrics such as order lead time, dispatch accuracy, and on-time delivery percentage.
- Support management in sales forecasting, planning, and customer performance analysis.
Qualifications & Experience
- Education: Graduate / Postgraduate in Commerce, Business Administration, Mechanical / Electrical Engineering or related field. MBA preferred.
- Experience: Minimum 2–6 years of experience in Sales Coordination / Sales Operations, preferably in a Manufacturing or Engineering industry (Copper/Aluminium Wires, Cables, Conductors, or similar products).
- ERP / Software Skills: Proficiency in BS 365 ERP / Rattus Software or equivalent.
- MS Office: Advanced Excel, Word, PowerPoint for reports and analytics.
