Job Summary
Role: Sales Coordinator (Freight Forwarding)
Focus: Ocean Freight (LCL/FCL), Air Freight, and Custom Clearance
Objective: To support the sales team in achieving targets by preparing quotations, managing carrier relationships, and ensuring smooth documentation flow.
Key Responsibilities
1. Pricing & Quotation Management
- Rate Procurement: Coordinate with shipping lines, airlines, and overseas agents to procure competitive freight rates.
- Quote Preparation: Create and send formal quotations to clients, ensuring all surcharges (BAF, CAF, THC, etc.) are accurately included.
- Negotiation: Negotiate buy rates with vendors to improve the company's profit margins on every shipment.
2. Sales Support & Lead Management
- CRM Maintenance: Update the Sales Management System with lead status, follow-up notes, and client contact details.
- Inside Sales: Follow up on sent quotes to convert them into confirmed bookings and handle inbound sales inquiries.
- Reporting: Prepare weekly and monthly sales reports, including Won/Lost analysis of quotes.
3. Operational Coordination
- Booking Execution: Once a quote is approved, coordinate with the operations/booking desk to secure space with carriers.
- Documentation: Ensure all KYC and shipping documents (Invoice, Packing List, SLI) are collected and verified.
- Tracking: Provide proactive shipment status updates to clients until the cargo reaches its destination.
Requirements & Qualifications

- Data Accuracy: Zero errors in rate calculation or documentation handling.
Preferred Profile
- Understanding of LCL vs. FCL and Air vs. Sea shipping dynamics.
- Ability to multitask under pressure during month-end shipping peaks.
- Strong geographical knowledge (major global ports and trade lanes).
