RFP Specialist IT Software & Technology Services (Immediate Joiner)

About the Role

Matellio is expanding its RFP & Tender function and is looking for an RFP Specialist who is interested in research, bid management, proposal coordination, and technology-driven business opportunities.

The role will provide exposure to Indian and Global RFPs, Tenders, RFQs and EoIs, particularly within the IT Software, Technology, Cloud, AI/ML and Digital Transformation services space.

Key Responsibilities

• Research and identify relevant RFPs, Tenders, RFQs and EoIs from Indian and global sources.
• Monitor GeM and other government, PSU, enterprise and international tender portals.
• Identify opportunities related to:
• Software Development
• AI/ML & Generative AI
• Cloud & Cloud Migration
• Digital Transformation
• IT Consulting & Technology Services
• Review tender/RFP documents and understand scope, eligibility criteria, technical requirements, timelines and submission requirements.
• Perform initial opportunity qualification based on business, technical and commercial requirements.
• Support Bid/No-Bid evaluation by preparing opportunity summaries and highlighting key requirements, risks and gaps.
• Prepare and maintain RFP trackers, opportunity dashboards, compliance matrices and bid documentation.
• Coordinate with Sales, Presales, Technical, Finance, Legal and other internal teams to collect required inputs.
• Track clarifications, amendments, deadlines and submission requirements throughout the bid lifecycle.
• Support preparation and compilation of technical and commercial proposal documents.
• Maintain organized records of submitted bids, outcomes, client requirements and reusable content.
• Build and maintain an RFP knowledge/content library including company profiles, case studies, technical capabilities, credentials and standard responses.
• Contribute to developing and improving RFP processes, templates, checklists and workflows.
• Track tender outcomes and maintain learnings for future bids.

Required Skills

• Strong research and analytical skills with the ability to understand detailed RFP/tender documents.
• Good understanding of IT Software and Technology Services.
• Ability to identify and interpret key requirements, eligibility criteria and compliance conditions.
• Strong documentation and coordination skills.
• Good working knowledge of MS Excel, Word and PowerPoint.
• Excellent written and verbal communication skills.
• Strong attention to detail and ability to manage multiple deadlines.
• Ability to coordinate with multiple stakeholders and follow up effectively.
• Willingness to learn Indian and global RFP/tender processes.

Preferred Experience

• Experience in RFP, Tender, Bid Management, Proposal Management, Presales or Business Operations.
• Experience working with GeM, CPPP or other government/enterprise tender portals is an advantage.
• Exposure to IT/software services, cloud, AI/ML or digital transformation will be preferred.
• Experience in an IT Services, Software, Technology or System Integration company is an added advantage.
