Job Description: Reservation Executive Hotel/Resort

Position Overview

The Reservation Executive is responsible for managing all guest reservations efficiently while ensuring high levels of guest satisfaction. This role handles inquiries, processes bookings, maintains accurate records, and coordinates with various departments to ensure a smooth guest experience from the time of booking to arrival. The budget for this position is up to 35,000 per month, and immediate joiners are preferred.

Key Responsibilities :

Reservation Handling

  • Respond promptly to reservation inquiries via phone, email, WhatsApp, and OTA platforms.
  • Process reservations accurately in the PMS and ensure all details are recorded.
  • Maintain up-to-date inventory and room allocations.
  • Upsell room categories, packages, and add-on services to maximize revenue.
  • Ensure instant confirmation and consistent follow-up with guests.

Guest Communication & Support

  • Provide detailed information about room types, rates, packages, and inclusions.
  • Assist guests with modifications, cancellations, and special requests.
  • Maintain professional and warm communication to enhance guest satisfaction.

Coordination

  • Coordinate with Front Office, Housekeeping, Sales, and Revenue teams for seamless operations.
  • Communicate daily arrival lists, VIP arrivals, special requests, and group bookings.

Reporting

  • Prepare daily, weekly, and monthly reservation reports.
  • Track reservation conversions, cancellations, and no-show patterns.
  • Maintain accurate documentation and filing of all bookings.

Skills & Qualifications

  • Bachelor's degree in Hospitality Management or relevant field (preferred).
  • 13 years of experience in hotel/resort reservations or front office operations.
  • Excellent communication skills (verbal & written).
  • Strong customer service orientation.
  • Knowledge of PMS, Channel Managers (Staah, RateGain, etc.), and OTA extranets.
  • Good organizational and multitasking abilities.
  • Proficiency in MS Office, especially Excel.
