Job Description

We are hiring a Regional Head - Admin to lead end-to-end facilities, administration, and branch infrastructure management for the North Zone, with accountability for financial planning, budgetary control, cost optimization, and operational excellence. Drive efficient workspace utilization, oversee branch setup, relocation, and closure projects, and ensure high standards of hygiene, maintenance, and vendor performance through effective SLA governance. Partner with cross-functional stakeholders including Business, Finance, Legal, HR, and IT to deliver projects within defined timelines and budgets. Maintain robust MIS, occupancy data, and executive reporting while ensuring accurate financial reconciliations, compliance, and continuous process improvement to enhance operational efficiency and support business growth.

Experience: 10 to 12 years

  1. Finance & Budgetary Control

Cost Efficiency & Space Management

  • Administrative Cost Reduction: Identify and execute cost-saving strategies to lower administrative expenses by 5% of the total budget via optimized space utilization.
  • Occupancy Monitoring: Audit and analyse designed versus actual seat occupancy rates on a regular basis to maximize real estate efficiency.
  • Workspace Cost Analysis: Conduct comprehensive cost-benefit analyses comparing traditional co-working spaces against managed office setups to guide strategic workspace decisions.

Financial Management:

  • Ensure correct financial provisioning for Capital Expenditure (CAPEX) and Operational Expenditure (OPEX).
  • Perform monthly financial reconciliations and execute advanced reconciliation processes to maintain ledger accuracy.
  • Track monthly budget versus actual expenditures to identify deviations and control costs.

  1. Hygiene & Branch Maintenance (North Zone)
  • Branch Hygiene Audits: Plan, schedule, and conduct annual on-site hygiene and maintenance verification visits for all nationwide branches older than one year.
  • SLA-Driven Issue Resolution: Ensure all identified facilities issues, maintenance queries, and critical infrastructure faults are fully resolved by the end of their respective calendar months.

3. Branch Project Management (North Zone)

  • New Projects: Oversee facilities projects across their entire lifecycle, including new office setups, branch relocations, and lease terminations/surrenders. Project cycle from branch selection till brach set-up with efficiency and timelines as per SOP needs to be achieved. With stakeholder management like Business team, Legal, Finance, IT etc.,
  • Asset & Security Deposit Recovery: Coordinate smooth handovers, secure the full collection of security deposits (rent and other advances), and manage the sale or relocation of physical corporate assets.

4. Vendor Management

  • SLA Management: Draft, review, and manage Service Level Agreements (SLAs) and general commercial agreements.
  • Contract Renewals: Track agreement expiration dates and proactively initiate renewal processes.

5. Stakeholder Management

  • Branch Relationship Management: Schedule and conduct regular Monthly Branch Connect meetings during the final week of each month (between the 25th and 31st).
  • Action Item Turnaround: Document, track, and close all action points arising from Branch Connect sessions within a strict 7-day turnaround time (TAT).

5. MIS & Data Management

  • Central Repository: Maintain and update the team's common shared folder to ensure data security and accessibility.
  • HRMS Administration: Update HRMS data specifically focusing on occupancy versus vacancy metrics.
  • Issue Tracking: Own and update the open issue and activity tracker to ensure project timelines are met.
  • Executive Reporting: Compile and publish the monthly Management Information System (MIS) report for leadership review.
