Job Description

Recruitment Operations & Onboarding Coordinator

Job Summary:

We are looking for a proactive and detail-oriented Recruitment Operations & Onboarding Coordinator to support the end-to-end post-selection process, asset coordination, onboarding, and internal redeployment. The ideal candidate will play a crucial role in ensuring a seamless transition for new hires and effective utilization of talent across business units through strong coordination and data management.

 

Key Responsibilities:

Post-Selection Process Coordination

  • Collect and verify necessary documents from selected candidates.
  • Share documentation with the Background Verification (BGV) team and ensure timely follow-ups.
  • Liaise with candidates to gather additional inputs or clarifications for BGV clearance.

 

Asset Management and IT Coordination

  • Initiate laptop/access requests with Admin/IT and follow through to ensure timely delivery.
  • Confirm delivery and access creation for new hires.
  • Maintain trackers for laptop dispatch, system ID creation, and onboarding essentials.

 

Onboarding Support

  • Share New Hire Training (NHT) details post-onboarding.
  • Ensure timely generation of Beacon IDs and system access for smooth onboarding.

 

Redeployment and Forecasting

  • Engage with consultants whose projects are ending to assess availability and schedule redeployment discussions.
  • Track project transitions and maintain communication to ensure continuity of engagement.

 

Interview & Meeting Coordination

  • Schedule interviews and internal connects by sending calendar invites to respective POCs.
  • Maintain and update interview trackers with accuracy.

 

HR & Reporting Coordination

  • Collaborate with the OBHR team to reconcile and update monthly reports including active headcount, attrition, etc.
  • Ensure timely and accurate submission of required data.

 

Talent Pool Management

  • External Talent Pipeline Augmentation
  • Connect with candidates in the ATS database aged beyond 90/120/180 days to update availability and interest levels.
  • Use GEM to update candidate availability status and ensure profiles are current with qualifications, resumes, and notes.
  • Use GEM to upload new reqs and close reqs – Req management in GEM
  • Check if Recruiter has Maintained a hotlist of active candidates categorized by qualification, domain, skills, and experience.

 

Internal Talent Redeployment Support

  • Coordinate with OBHR to move released consultants to the NXT JOB Portal.
  • Collaborate with BU Account Managers to verify upcoming releases and ensure proactive redeployment efforts.

 

Required Skills and Qualifications:

  • Fresher or experience in recruitment operations or onboarding coordination.
  • Strong organizational and multitasking skills.
  • Proficiency in using ATS (preferably GEM) and other HR tools.
  • Excellent communication and stakeholder management skills.
  • Attention to detail and process-oriented mindset.
