We are seeking a highly organized and proactive Interview Coordinator to join our talent acquisition team. In this role, you will play a key part in managing the scheduling and logistics of candidate interviews, ensuring a seamless and positive experience for both candidates and hiring teams. Your attention to detail and ability to manage multiple priorities will be critical in maintaining the efficiency and success of our recruitment process.
Key Responsibilities:
- Coordinate and schedule interviews across various teams and departments, ensuring alignment with candidate and interviewer availability.
- Serve as the primary point of contact for candidates throughout the interview process, providing timely communication and updates.
- Arrange logistics for interviews, including meeting room bookings, video conferencing setup, and any special requirements.
- Collaborate closely with recruiters, hiring managers, and interviewers to ensure smooth interview processes and address any scheduling conflicts.
- Maintain accurate records of candidate interactions and interview schedules using applicant tracking systems (ATS) or scheduling tools.
- Prepare and distribute interview materials such as candidate resumes, feedback forms, and schedules to interviewers.
- Handle last-minute changes or cancellations with professionalism and efficiency, ensuring minimal disruption.
- Collect and consolidate interview feedback from interviewers, ensuring timely follow-ups with recruiters and hiring managers.
- Assist with candidate travel arrangements and reimbursements, if applicable.
- Contribute to continuous improvement initiatives for interview coordination processes and candidate experience.
Qualifications:
Required:
- Bachelors degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- Proven experience in a coordination or administrative role, preferably in recruitment or HR.
- Strong organizational and time-management skills with the ability to handle multiple priorities effectively.
- Excellent verbal and written communication skills.
- Proficiency in scheduling tools and platforms such as Microsoft Outlook, Google Calendar, or similar.
- Familiarity with applicant tracking systems (e.g., Ripplehire) or other HR software.
- Attention to detail and problem-solving skills, particularly in managing complex schedules.
- A customer-focused mindset with a commitment to delivering an excellent candidate experience.
Preferred:
- Previous experience in recruitment coordination within a fast-paced environment.
- Understanding of employment laws and regulations related to recruitment.
- Knowledge of video conferencing tools like Zoom, Microsoft Teams, or Webex.
