Recruiter Virtual Assistant (Recruiter VA)
Candidate Screening & Outreach
Conduct initial phone/video screenings to assess communication skills, motivation,
and licensing readiness.
Follow up with candidates who start but don't complete applications.
Respond to candidate inquiries promptly to keep engagement high.
Reach out to candidates via phone, email, and text to schedule interviews
Interview Coordination
Schedule interviews with qualified candidates for the agency owner, sales manager,
or district leadership.
Send calendar invites and reminders to both candidates and interviewers.
Prepare and send interview materials (job descriptions, role outlines, licensing info).
Track interview outcomes and update Ideal Traits accordingly.
Recruitment for Multiple Roles
Support recruitment for:
Customer Service Representatives (CSR)
Sales Producers
Agents in Training (Protege Program)
District Staff (Recruiters, Trainers, Admin, Marketing)
Ensure each pipeline is active and progressing weekly.
Pipeline Development & Follow-Up
Maintain ongoing contact with top candidates who may be good future hires.
Assist with career fair or university recruiting coordination (Handshake, SJSU,
SCU, etc., if directed).
Keep a warm pool of potential Protg and licensed candidates for district
expansion.
Performance & Reporting
Provide weekly reports on candidate activity:
Applications received
Screens conducted Interviews booked
Hires made
Track time-to-hire and identify bottlenecks in the process.
Recommend adjustments to job postings, outreach, or screening questions to
improve results.
Mandatory Skills :
Min 12 years of experience in recruitment coordination or virtual recruiting with strong communication and follow-up skills.
Proficient in using CRM/ATS tools and managing candidate pipelines.
Able to handle end-to-end hiring tasks - screening, scheduling, and reporting.
Excellent English communication and professional phone presence.
Organized, proactive, and target-driven with attention to detail.
The position involves rotational shifts, which can start anytime between 4:00 PM and 10:00 PM, with a 10-hour work schedule.
