JD & Responsibilities
Extend a friendly and welcoming greeting to guests/Visitors as soon as they arrive at the office and
Maintain a clean and tidy reception area & ensure it is presentable, with all necessary stationery and material (e.g., pens, forms and brochures)
Answer incoming telephone calls, emails, and messages and reply to or redirect them
Making calls to generate enquiries
Set up meetings and update calendars
Take delivery of mail and sort and distribute them
Make travel and lodging arrangements and create vouchers
Direct visitors to the appropriate person and office
Provide basic and accurate information in person and via phone/email
Receive, sort and distribute daily mail/deliveries
Order front office supplies and keep an inventory of stock
Arrange travel and accommodations, and prepare vouchers
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
