Job Description

Key Responsibilities

Transaction Support

  • Assist Regional Transaction Managers with lease negotiations, renewals, and expansions
  • Coordinate due diligence activities for real estate transactions
  • Support market research and site selection processes
  • Maintain transaction timelines and milestone tracking
  • Prepare and distribute transaction status reports to stakeholders

Financial Management & Compliance

  • Prepare comprehensive scope packages for funding approvals and facilitate approval processes
  • Initiate purchase orders and ensure procurement compliance
  • Process invoices for approval, expedite payments, and maintain budget reconciliation
  • Track and report on transaction expenditures against approved budgets
  • Conduct variance analysis and provide financial reporting support
  • Assist with annual budget planning and forecasting activities

Vendor & Supplier Management

  • Manage supplier relationships and ensure process/document compliance
  • Coordinate vendor selection and on-boarding processes
  • Monitor service level agreements and performance metrics
  • Research and resolve purchasing and vendor-related issues
  • Maintain vendor database and contract documentation
  • Coordinate due diligence reviews

Administrative & Operations Support

  • Implement and monitor adherence to corporate real estate standards
  • Maintain comprehensive transaction files and documentation systems
  • Distribute transaction information to team members and stakeholders
  • Receive, research, and address initial facility and real estate issues
  • Escalate complex matters to appropriate senior staff when necessary
  • Provide regional support across multiple markets and time zones
  • Initiate, review, and prepare Privacy, Data and Security documentation

Process Improvement

  • Identify opportunities for process enhancement and efficiency gains
  • Recommend and implement procedural improvements
  • Support technology implementations and system upgrades
  • Develop and maintain standard operating procedures and best practices

Space & Lease Administration

  • Assist with lease abstract preparation and maintenance
  • Support space planning and occupancy reporting
  • Monitor lease compliance and critical date management
  • Assist with sublease administration and management
