Job Description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a RE Sr Specialist - Facilities and Office Services based in India.

This role is a key operational position responsible for ensuring smooth, safe, and efficient functioning of office environments across assigned locations. You will act as the central point of coordination for facility operations, vendor management, workplace services, and office infrastructure support. The position plays a critical role in maintaining workplace standards, optimizing costs, and ensuring high-quality employee experience within office premises. You will collaborate with internal stakeholders and external service providers to support day-to-day operations as well as larger facility upgrades, refurbishments, and relocations. The environment is dynamic, service-oriented, and highly collaborative, requiring strong attention to detail and hands-on execution. This role is ideal for someone who enjoys combining operational management with technical facility oversight in a fast-paced corporate setting.

Accountabilities

  • Ensure smooth day-to-day facility and office operations, including workspace readiness, cleanliness, safety standards, and general workplace services.
  • Coordinate with vendors, contractors, landlords, and internal teams to manage maintenance, repairs, refurbishments, and building services.
  • Oversee mechanical, electrical, plumbing, and infrastructure systems to ensure proper functioning and compliance with safety standards.
  • Support office administration activities such as supplies management, mail handling, meeting coordination, travel assistance, and front desk support when needed.
  • Conduct regular facility inspections and implement corrective action plans to address maintenance or compliance gaps.
  • Assist in managing facility budgets, invoice processing, vendor documentation, and coordination with accounts payable teams.
  • Support office expansions, relocations, renovations, and new site setups in collaboration with cross-functional teams.
  • Maintain strong relationships with service partners and ensure consistent service quality across all facility operations.

Requirements

  • Bachelor's degree in Facility Management, Engineering, Administration, or a related field.
  • 1-2 years of experience in a similar facilities role, or 4-5 years as a senior facility administrator or equivalent.
  • Strong understanding of facility management operations, vendor coordination, and workplace safety standards.
  • Basic technical knowledge of building systems (M&E, plumbing, electrical) is an added advantage.
  • Proficiency in MS Excel, email communication, and general computer applications.
  • Ability to work in shifts or flexible schedules based on business requirements.
  • Strong organizational skills with attention to detail and ability to manage multiple operational tasks.
  • Good communication and stakeholder management skills with a service-oriented mindset.
