Interfood Singapore is looking for a detail-oriented Quality Assurance Executive to support quality, food safety, and regulatory compliance across supplier and customer documentation, quality management systems, and complaint handling. The role is responsible for maintaining accurate documentation, coordinating audits and compliance activities, supporting regulatory requirements, and driving continuous improvement initiatives. The ideal candidate should be comfortable in a primarily desk-based role with 2 to 3 years of experience in the food industry, strong organizational skills, and an interest in quality systems and food safety standards.
Job Responsibilities
1.Documentation & Database Management.
Supplier Documentation
- Maintain and manage the supplier database to ensure all quality, food safety, and regulatory documents are current and complete.
- Proactively follow up with suppliers to obtain updated or missing documentation prior to expiry.
- Ensure documents are accurately named, version‑controlled, and uploaded into the document management system with correct expiry dates.
- Review incoming supplier documents for completeness, accuracy, and compliance with internal requirements.
- Support supplier approval and re‑approval processes in line with QA requirements.
- Assist with product specifications, COAs, and technical data sheets.
- Support risk assessments related to suppliers, products, and markets.
- Support cross‑functional teams by providing timely access to approved supplier documentation upon request.
Customer Documentation
- Complete customer questionnaires related to quality, food safety, and compliance requirements.
- Respond promptly to customer requests for quality documents, certifications, and product information.
- Maintain the customer documentation database and ensure all submitted documents remain valid and up to date.
2.Quality Management System (QMS)
- Manage and maintain the internal quality management system.
- Act as the primary point of contact and liaison for all IFS Broker‑related matters.
- Coordinate and support IFS Broker audits (internal, external, and certification audits) across APAC operations.
- Ensure corrective actions arising from audits are documented, tracked, and closed within agreed timelines.
- Support continuous improvement of QMS processes and documentation.
- Support coordination of quality and food safety training for internal teams.
- Maintain training records related to quality systems and certifications.
3.Non‑Conformance (NC) & Complaint Management
- Support the QA Manager in managing customer complaints and non‑conformance cases.
- Log, investigate, and track complaints and NCs in a structured and timely manner.
- Coordinate root cause analysis and corrective/preventive actions (CAPA) with internal teams and suppliers.
- Monitor trends in complaints and NCs and escalate recurring issues where necessary.
- Prepare basic quality reports (e.g., document compliance status, audit findings, complaint trends).
- Track KPIs related to quality documentation, complaints, and audit performance.
4.Regulatory & Compliance Support
- Provide regulatory and compliance support across functions (Sales, Operations, Supply Chain).
- Assist with regulatory assessments for products, suppliers, and customer markets.
- Support food safety and regulatory compliance related to dairy products (e.g., labeling, specifications, certifications).
- Maintain awareness of applicable food regulations in relevant markets and flag potential compliance risks.
5.Ad‑Hoc & Operational Support
- Support the QA Manager with ad‑hoc quality‑related tasks and projects as required.
- Assist in continuous improvement initiatives across quality and food safety processes.
Skills & Competencies
- Basic understanding of food safety and quality assurance principles.
- Strong attention to detail and good organizational skills.
- Ability to follow instructions and work with structured processes.
- Good communication skills for internal and external coordination.
- Comfortable working with databases, spreadsheets, and document control systems (office based)
Qualifications & Experience
- Diploma or Degree in Food Science, Food Technology, Quality Management, or related field.
- Candidates with 2-3 years of QA or food industry experience are welcome.
- Experience or exposure to food standards (IFS, BRC, FSSC 22000) is an advantage but not required.
- Experience in dairy, food trading, or FMCG is a plus.
