Reporting directly to the Director, Regional Pursuits, Infrastructure., this role assists with supporting smooth running operations for the North American Infrastructure Pursuits Team. The role involves providing administrative support for our Directors and Pursuits Team members. It also includes partnering with pursuit leaders throughout North America to support pursuits throughout their lifecycle. Responsibilities include content support and quality assurance, maintaining internal databases/systems management, reporting, and administrative tasks. You'll work closely with pursuit/bid, marketing, technical staff, and client-facing leaders to help the team win work, ensuring all outputs align with Stantec branding and communication standards.
Essential Functions
The core responsibilities include pursuit response support, materials development, and knowledge and systems management.
Pursuit Response Support
- Works with North American regional pursuits team to develop components of proposal responses in alignment with our M&BD process. Examples could include gathering resumes/resume updates, project profiles, and qualifications.
- Collects company data and/or conducts internal/external research appropriate for opportunity response documents and/or strategy development.
- Organizes and participates in response-related meetings (internal and/or client).
- Liaises with internal and external clients to gather information to achieve a complete response; prepare subconsultant packages.
- Assists in supporting pre-qualification accreditations, vendor questionnaires and forms, and MSA renewals to meet future opportunity requirements. Liaise with corporate information management team and regional pursuit team members as needed. Duties could include tracking renewal cycles and expiry dates and coordinating minor updates to reflect staff changes.
- Coordinates pursuit number openings upon request.
- Assists with facilitating appropriate legal reviews of pursuit phase documentation and contracts via Stantec's contract review portal.
- Provides quality reviews to ensure compliance with RFP mandates, including content proofing and editing.
- Ensures debrief information is collected and captured.
Materials Development
- Coordinates the preparation of select written and graphical elements of opportunity response documents such as proposals, qualifications, brochures, flat sheets and presentations.
- Interacts with operations personnel to support collateral development. Liaises with MarComm team as needed.
- Work with technical leads to gather project information for new and existing project and personnel profiles on SMKC. Specifically, assists new ES staff with creating SMKC personnel profiles. Liaises with MarComm team to coordinate adding key staff to website.
- Proofs and edits documents for quality standards.
- Ensures adherence to standards and templates presenting a consistent appearance/style in compliance with Stantec's branding guidelines.
- Coordinates with dedicated visual communication design personnel as needed.
Knowledge and Systems Management
- Updates/maintains qualifications and reference materials (including project descriptions and personnel profiles, images, collateral materials, etc.) in Stantec's online library.
- May maintain database to access procurement sites, helps acquire RFP materials, distributes opportunities to relevant staff/ disciplines. (This is a US function only.)
- Regularly updates opportunities in Stantec's opportunity management system. Helps support opportunity reporting and analysis. Helps maintain Top Pursuit lists and tagging.
- Supports the development and maintenance of a content library of common RFP response language (boilerplate) to support efficient pursuit responses.
Additional Responsibilities
This position may assist with other various tasks which could include supporting onboarding, supporting leadership organizational and administrative functions, and other duties as needed.
Education
Associate's or Bachelor's degree in Marketing, Communications, English, Business, or related field or equivalent work experience.
Other Requirements
- At one to three years of working experience in an office administration capacity. AEC industry and environmental services experience desired.
- Excellent communication skills (verbal and written). Strong proofreading abilities and attention to detail required.
- Detail-oriented and organized, with exceptional prioritization skills.
- Ability to effectively balance and prioritize multiple deadlines; be responsive to colleagues and industry partners and accountable for deliverables.
- Support team and company initiatives.
- Demonstrated proficiency with web-based tools and Microsoft Office applications, including but not limited to Outlook, Word, Excel, PowerPoint, OneNote, Teams, SharePoint, OneDrive.
- Proficiency in Adobe Acrobat and InDesign is desirable but not required.
