Job Purpose:

To handle the procurement of HVAC materials, components, and services in a timely and cost-effective manner while ensuring quality, vendor reliability, and adherence to company policies.

Key Responsibilities:

● Identify and evaluate vendors/suppliers for HVAC equipment, ducting materials, electrical items, and related consumables.

● Obtain competitive quotations, prepare comparison sheets, and negotiate prices, terms, and delivery schedules.

● Issue purchase orders (POs) and follow up with vendors for timely delivery of materials.

● Coordinate with the Design, Planning, and Project Execution teams to understand material requirements and delivery timelines.

● Maintain and update the approved vendor list and procurement records.

● Monitor inventory levels to avoid shortages or excess stock.

● Ensure materials meet the required technical specifications and quality standards.

● Track and resolve issues related to delivery delays, material discrepancies, or rejections.

● Support accounts in verifying supplier bills and payment follow-ups.

● Assist in developing procurement strategies to reduce costs and improve supply chain efficiency.

● Ensure compliance with company purchasing policies and procedures.

Qualifications and Experience:

● Education: Diploma / BE in Mechanical Engineering or Graduate with relevant experience.

● Experience: 2–5 years of experience in procurement, preferably in the HVAC / MEP / Construction industry.

● Technical Skills:

○ Knowledge of HVAC systems and components.

○ Good understanding of materials such as ducts, insulation, chillers, AHUs, FCUs, compressors, etc.

○ Proficiency in MS Office and ERP software (Tally, SAP, or similar).

● Soft Skills:

○ Strong negotiation and communication skills.

○ Good coordination and follow-up abilities.

○ Attention to detail and time management.

● On-time material delivery rate.

● Cost savings achieved through negotiation.

● Supplier performance and reliability.

● Accuracy and timeliness of purchase documentation.
