Job Summary:
The Purchase / Procurement Executive is responsible for sourcing, negotiating, and procuring materials, equipment, and services essential for smooth operations across Hospitality, Housekeeping, MEP (Mechanical, Electrical & Plumbing), and FMCG functions. This role ensures cost-effective purchasing while maintaining the highest standards of quality, compliance, and supplier performance.
Key Responsibilities:
1. Procurement Management
- Identify, evaluate, and source quality raw materials, packaging materials, consumables, and other operational supplies.
- Develop and maintain strong relationships with vendors and suppliers to ensure reliable supply chains.
- Negotiate prices, payment terms, and delivery conditions to achieve optimal value and savings for the company.
2. Inventory & Stock Management
- Monitor stock levels and ensure timely replenishment to prevent stockouts or overstocking.
- Coordinate with warehouse and production/operations teams to maintain efficient material flow and availability.
3. Vendor Development & Evaluation
- Identify and onboard potential new suppliers for different categories (Hospitality, Housekeeping, MEP, FMCG).
- Evaluate vendor reliability, quality consistency, and delivery performance.
- Maintain and update the approved supplier database with performance metrics.
4. Cost Optimization
- Analyze market trends and supplier performance to identify and implement cost-saving opportunities.
- Track and control procurement expenses to meet annual budget and cost-reduction targets.
5. Purchase Order Management
- Prepare and process purchase orders accurately, ensuring timely issuance and delivery follow-up.
- Maintain proper documentation and ensure all purchases comply with company policies, quality standards, and audit requirements.
6. Coordination & Issue Resolution
- Collaborate with production, housekeeping, engineering, finance, and quality control teams to align procurement with operational needs.
- Resolve issues related to material shortages, delivery delays, or quality discrepancies in coordination with suppliers.
7. Compliance & Reporting
- Ensure all procurement activities adhere to statutory, safety, and company compliance requirements.
- Generate regular reports on procurement status, supplier performance, material consumption, and cost savings.
Required Skills & Competencies
- Strong knowledge of procurement processes across Hospitality, Housekeeping, MEP, and FMCG sectors.
- Excellent negotiation, communication, and vendor management skills.
- Proficiency in MS Excel, ERP systems, and general procurement software.
- Strong analytical and problem-solving abilities.
- Effective time management and multitasking skills with attention to detail.
- Ability to work independently as well as collaboratively in a fast-paced environment.
Qualifications:
- Bachelor's Degree in Supply Chain Management, Business Administration, Engineering, or a related field.
- MBA or Postgraduate Diploma in Supply Chain / Materials Management (preferred).
- 25 years of relevant experience in procurement within Hospitality, MEP, Housekeeping, or FMCG industries.
