We are looking for a proactive and experienced Purchase/Logistics Executive specializing in indirect procurement. This role involves developing and implementing sourcing strategies, managing the entire procurement cycle from vendor selection to delivery, and ensuring compliance with all relevant policies and regulations. The ideal candidate will possess strong negotiation skills and meticulous attention to detail in handling logistics and documentation.
Specific Responsibilities:
- Develop and implement indirect sourcing/procurement strategies to optimize cost and efficiency.
- Strategically source all indirect commodity parts and/or services and MRO (Maintenance, Repair, and Operations) needs.
- Work with internal customers (user departments) to accurately gather material/service requirements.
- Solicit bids, proposals (RFI, RFP, RFQ, RFS), and review requisitions for goods and services.
- Adhere to and execute the competitive bidding process.
- Lead the identification and selection of vendors for indirect commodities/services, and set up the process for vendor onboarding.
- Maintain an approved Vendors List for indirect material/service categories.
- Perform spend analysis and categorization of spend on a monthly basis to identify opportunities.
- Lead supplier negotiations to achieve optimal terms and pricing.
- Release Purchase Orders (PO), follow up for delivery, liaison with freight forwarders and customs agents, and track shipments until delivered to the store.
- Address payment-related queries and documents as per set processes and procedures.
- Ensure proper maintenance of documents and housekeeping related to procurement records.
- Manage cradle-to-grave contract management, including preparation of competitive bid packages, analysis of responses, contract drafting, document routing, contract management, and vendor performance management.
- Ensure freight forwarders meet transit times as per contract, conduct timely reviews, and take appropriate steps for corrections.
- Ensure Customs brokers carry out customs clearance as per contract time period, conduct timely reviews, and take appropriate steps for corrections.
- Manage the maintenance of special import licenses/notifications and coordinate with the commercial department for the same.
- Ensure compliance with all laws governing freight movement and customs clearance.
- Ensure departmental compliance with all company policies & procedures.
- Ensure updation of DMB (Daily Management Board)/KPI's (Key Performance Indicators) with status and perform PDCA (Plan-Do-Check-Act) on a monthly basis.
- Maintain QS, IS, TS, ISO14001, compliance to legal requirements of EMS (Environmental Management System), procedures, and practices.
