Title: Purchase / Procurement Executive – FMCG & Housekeeping - (Hospitality Industry)

Location: Delhi

Experience:

  • 1-3 years of experience in procurement within hospitality, FMCG, retail, or facility management.
  • Experience handling multi-category procurement (F&B, housekeeping, engineering, general supplies).

We are seeking a proactive and detail-oriented Purchase / Procurement Executive to manage end-to-end procurement operations across Food & Beverage, Housekeeping, Engineering, and general consumables. The ideal candidate will have hands-on experience in hospitality or FMCG procurement, strong vendor management skills, and the ability to ensure cost-effective purchasing while maintaining quality and compliance standards.

Core Responsibilities:

1. Procurement & Coordination

  • Manage procurement of food items (staples, perishables, dairy, meat, poultry, groceries – local & imported), beverages, and kitchen consumables.
  • Handle sourcing and purchasing of housekeeping supplies, engineering spares, stationery, and general admin items.
  • Obtain quotations from multiple suppliers, prepare comparative statements, and finalize vendors.
  • Create and track Purchase Orders (POs) in ERP systems to ensure timely delivery.
  • Coordinate with internal departments (F&B, Housekeeping, Engineering, Stores, Finance) to confirm specifications, quantities, and timelines.
  • Manage emergency and spot purchases while ensuring proper documentation.
  • Oversee procurement of imported and specialty items based on operational and seasonal requirements.

2. Vendor Management

  • Identify, evaluate, onboard, and maintain a strong vendor base across all procurement categories.
  • Maintain updated vendor records, rate contracts, and supplier performance metrics.
  • Ensure vendor compliance with quality standards, hygiene practices, and food safety regulations.
  • Conduct periodic vendor performance reviews in coordination with internal stakeholders.
  • Build strong relationships to ensure reliability, consistency, and competitive pricing.

3. Cost Control & Compliance

  • Negotiate pricing, payment terms, and delivery conditions to achieve cost optimization.
  • Ensure all procurement aligns with company budgets, policies, and audit requirements.
  • Verify invoices against Purchase Orders and Goods Received Notes (GRNs).
  • Support cost control processes including price variance analysis and consumption tracking.
  • Ensure adherence to food safety regulations and statutory compliance (including import documentation where applicable).

4. Documentation & Reporting

  • Maintain accurate records of enquiries, quotations, POs, contracts, and delivery details.
  • Monitor pending orders and ensure timely fulfillment.
  • Prepare weekly/monthly procurement reports and supplier performance summaries.
  • Update ERP systems with real-time procurement and vendor data.
  • Assist in internal and external audits by providing complete and accurate documentation.

Education & Experience:

  • Bachelor's degree in Business Administration, Commerce, Hospitality, Food Technology, Agro Business, or related field.
  • 1-3 years of experience in procurement within hospitality, FMCG, retail, or facility management.
  • Experience handling multi-category procurement (F&B, housekeeping, engineering, general supplies).
  • Exposure to high-volume procurement environments is an advantage.
  • Hands-on experience with ERP systems (SAP, Oracle, IDS, or similar).

Key Skills & Competencies:

  • Strong understanding of food and non-food procurement categories.
  • Excellent negotiation and vendor management skills.
  • Good knowledge of food safety standards and procurement compliance.
  • Strong analytical skills with attention to detail.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and ERP systems.
  • Effective communication and cross-functional coordination abilities.
  • Organized, proactive, and result-oriented approach.
