Position type- Full Time

Work Location- Bangalore, Whitefield

Cab Facility- Yes

Shift Time -12.30 p.m. to 9.30 p.m.

GENERAL DESCRIPTION OF ROLE:

The Proposal Specialist supports proposal delivery in line with defined SLAs, timelines, and quality standards. The role focuses on sectionlevel drafting and editing, compliance support, and disciplined document execution, with a strong emphasis on written quality and advanced Microsoft Word proficiency.
The role works closely with onshore writers, content managers, and subject matter experts while supporting multiple bids concurrently.

JOB RESPONSIBILITIES:

Proposal Development & Content Management

  • Draft, edit, and tailor proposal content in clear, professional business English, translating complex concepts into concise, clientready responses aligned to buyer intent and evaluation criteria.
  • Interpret RFP requirements and develop accurate compliance matrices.
  • Ensure narrative clarity, accuracy, consistency, and adherence to brand and style standards.
  • Create, manage, and maintain proposal response templates and content within Loopio.
  • Coordinate SME content reviews and updates to ensure accurate, compliant, submissionready responses.

Document Production & Quality Control

  • Export proposal responses to Microsoft Word and perform advanced drafting, formatting, version control, and final quality reviews prior to submission.
  • Maintain disciplined document management practices, including version control, naming conventions, change tracking, and review workflows.
  • Format proposal documents, appendices, and forms, including populating required standard firm content (e.g., tax ID, corporate information, diversity statements).

Collaboration & Delivery

  • Collaborate with SMEs, writers, production assistants, and content managers to deliver complete, highquality submissions under tight deadlines.
  • Support multiple concurrent bids while maintaining attention to detail, quality, and responsiveness.
  • Proactively follow up, resolve issues, and escalate risks to ensure deadlines, SLAs, and client expectations are met.
  • Provide daytoday support to onshore writers and production assistants as needed.

Technology & AI Enablement

  • Use collaboration, content, and workflow tools (including Loopio) to improve efficiency, transparency, and consistency.
  • Leverage approved AIassisted drafting and review tools to accelerate first drafts and support quality and compliance checks.

SKILLS/COMPETENCIES REQUIRED:

  • 2-4 years of experience in proposal support, bid writing, content development, editorial support, or a related role.
  • Strong written and verbal English communication skills with rigorous editing and proofreading discipline.
  • Advanced proficiency in Microsoft Word working knowledge of PowerPoint.
  • Experience supporting proposal templates, factual Q&A content, sectionlevel drafting, and detailed quality checks.
  • Experience using Loopio or similar proposal content management tools.
  • Ability to interpret RFP questions and identify content that fully addresses intent.
  • Strong attention to detail, ownership, followthrough, and sense of urgency.
  • Experience managing multiple deadlines, including working across time zones.
  • Familiarity with insurance, benefits, and/or consulting terminology preferred.
  • Commitment to continuous improvement through training, education, and coaching.
  • Requirement for industry experience (insurance, professional services, consulting)
  • Exposure to solutionline work, complex proposals, and bid support
  • Expectation of accuracy, accountability, and working on revenueimpacting deliverable.
