Job Description

Vizdale is an AI product development studio. We've worked with startups and MSMEs to build the products they need to grow from early prototypes to production systems running in the real world. Every project is different, which means the work stays interesting and you get exposure to a wide range of clients, domains, and delivery challenges.

The Role: We're looking for a project manager who can keep multiple client projects moving forward without things falling through the cracks. You'll work closely with the CTO and dev team to plan, track, and deliver web apps, websites, and AI-powered products for our clients.

This isn't a role where you sit in meetings all day. You'll be the person who understands what's being built, knows where each project stands, flags risks early, and makes sure clients always know what's happening. Because we're a small studio, you'll wear multiple hats part project manager, part client relationship owner, part operations coordinator.

We run several projects in parallel, often at different stages. You need to be comfortable context-switching, prioritizing across competing deadlines, and making judgment calls about what matters most right now.

We use AI tools (Claude) across the studio for planning, documentation, communication drafts, and research. You should be comfortable using them and thinking critically about their output.

What You'll Do

  • Own project delivery end-to-end. Break down client requirements into clear tasks and milestones in ClickUp. Assign work with the CTO, track progress daily, and make sure nothing stalls quietly.
  • Manage client communication. Run weekly syncs, send status updates, set expectations honestly, and handle scope discussions before they become scope creep. You're the client's main point of contact after kickoff.
  • Coordinate across a small team. Work with developers, designers, and the CTO to keep priorities clear. Make sure people know what they're working on, what's blocked, and what's shipping next.
  • Keep projects healthy. Track timelines, budgets, and scope. Spot delays early. Escalate the right things at the right time not everything, not nothing.
  • Handle the operational side. Manage SOWs, invoicing schedules, resource allocation across projects, and basic vendor coordination when needed.
  • Improve how we work. Document processes that work. Identify recurring bottlenecks. Help build lightweight systems that make delivery smoother without adding bureaucracy.

What We're Looking For

  • 2–5 years managing software or digital product projects — agency or studio experience is a strong plus
  • Solid understanding of how web and software projects are built (you don't need to code, but you should understand sprints, APIs, deployments, and why a database migration can delay a release)
  • Experience managing 3–5 concurrent projects without losing track of details
  • Strong written and verbal communication — you'll be writing client updates, internal briefs, and scope documents regularly
  • Comfort with project management tools (we use ClickUp experience with it or similar tools like Asana, Jira, or Linear)
  • The ability to push back respectfully on clients, on timelines, on vague requirements
  • A bias toward clarity and action over process for the sake of process

Nice to Have

  • Experience working with AI products or AI-integrated applications
  • Familiarity with our stack (Next.js, Node.js, PostgreSQL, AWS, Vercel/Railway) — not to build, but to understand conversations and estimates
  • Exposure to contract/SOW management and basic commercial awareness
  • Experience working directly with startup or MSME clients
  • Familiarity with Figma (enough to review designs and reference them in briefs)
  • Experience using AI tools for productivity and communication
