Position:Project Manager (Training Delivery & Administration)

Duration: Full Time

Location: Gurugram, Haryana ( Hybrid )

Role Summary

The Project Manager – Training Delivery & Administration is responsible for planning, coordinating, and managing end-to-end learning delivery projects. The role oversees training administration, stakeholder management, project planning, facilitator coordination, virtual delivery operations, and overall project execution to ensure high-quality delivery and an exceptional learner experience.

Key Responsibilities

Project Planning & Delivery

• Plan, manage, and monitor end-to-end training delivery projects from initiation through completion.
• Develop project plans, timelines, milestones, and delivery schedules using appropriate project management tools.
• Coordinate multiple concurrent training programs while ensuring adherence to agreed timelines, budgets, and quality standards.
• Track project progress and provide regular status updates to internal and external stakeholders.
• Ensure successful execution of instructor-led (ILT), virtual instructor-led (VILT), and blended learning programs.

Training Administration Oversight

• Oversee end-to-end training administration activities, including enrollment, scheduling, rescheduling, learner communications, attendance tracking, and reporting.
• Ensure class readiness by coordinating with facilitators, vendors, clients, and internal support teams.
• Monitor training operations and ensure all logistical and administrative requirements are completed before delivery.
• Review operational reports and implement corrective actions where required.

Stakeholder & Client Management

• Build and maintain strong relationships with clients, facilitators, vendors, and internal stakeholders.
• Conduct regular project meetings and provide timely project updates.
• Gather stakeholder feedback throughout the project lifecycle and ensure expectations are effectively managed.
• Act as the primary point of contact for project-related communication and escalations.

Risk & Issue Management

• Identify project risks, dependencies, and potential delivery challenges.
• Proactively manage changes in project scope and timelines.
• Resolve project issues, conflicts, and resource constraints in collaboration with relevant stakeholders.
• Develop contingency and mitigation plans to ensure uninterrupted project delivery.

Virtual Training Delivery Support

• Manage the technical delivery of virtual training sessions.
• Coordinate virtual classroom setup and ensure all technical requirements are met prior to delivery.
• Support facilitators during live sessions by managing participant interactions, breakout rooms, polls, chat, Q&A, and other engagement activities.
• Provide participants with guidance on using virtual learning platform features and troubleshoot technical issues during sessions.
• Ensure a smooth and engaging virtual learning experience.

Reporting & Continuous Improvement

• Monitor project performance using key operational and delivery metrics.
• Prepare project dashboards, utilization reports, and post-program summaries.
• Identify opportunities to improve delivery processes, operational efficiency, and learner satisfaction.
• Drive continuous improvement initiatives across training delivery and administration.

Required Skills & Qualifications

• Excellent verbal and written communication skills.
• Strong project management and stakeholder management capabilities.
• Proven experience in planning and managing end-to-end training delivery and administration projects.
• Excellent client-facing, customer relationship, and vendor management skills.
• Strong organizational, planning, and multitasking abilities.
• Experience managing virtual training platforms such as Microsoft Teams, Zoom, or Webex.
• Strong problem-solving, risk management, and decision-making skills.
• Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Project or equivalent project management tools.

Preferred Experience

• Experience managing global learning delivery programs across multiple regions and time zones.
• Knowledge of Learning Management Systems (LMS) and Customer Relationship Management (CRM) platforms.
• Experience coordinating large-scale virtual and classroom training programs.
• Familiarity with project management methodologies and continuous improvement practices.

Work Requirements

• Willingness to work in rotational shifts to support global clients and delivery teams.
• Flexibility to support programs across different time zones and occasional extended working hours based on business requirements.
