About the role: We're a growing digital agency with active clients running performance marketing, SEO, and Shopify development projects. We need someone who can bring order to chaos - taking projects from brief to delivery without things falling through the cracks.
What you'll actually do:
Project Execution (70% of your time)
- Own end-to-end delivery of 5-7 concurrent projects across performance marketing, SEO, and Shopify development
- Break down project briefs into clear, actionable tasks for our team (2 media buyers, 1 video editor, freelancers)
- Set realistic timelines and make sure everyone knows what's due when
- Track progress daily - follow up with team members, unblock issues, keep things moving
- Do quality checks before anything goes to the client (campaigns, creatives, websites, reports)
- Manage freelancer coordination when needed for specialized work
Systems & Process (20% of your time)
- Set up and maintain our project management system from scratch (choose the tool, build the workflows)
- Create simple, repeatable processes so projects don't rely on your memory
- Build templates for common deliverables, timelines, and checklists
- Document how we do things so it's not all in your head
Client Communication (10% of your time)
- Join client calls when needed to understand requirements and share progress updates
- Prepare status updates and reports (you don't need to present them, but they should be ready)
- Flag risks or delays early so we can manage expectations
- Keep internal team in the loop on client feedback and changes
What we need from you:
Must-haves:
- 3+ years managing multiple projects simultaneously (agency/digital marketing background strongly preferred)
- You've actually used project management tools and know how to set them up
- Comfortable with digital marketing concepts - you know what a media buyer does, understand campaign timelines, get how SEO projects work
- Strong in follow-through - you don't let things slip, you chase people when needed
- Can prioritize ruthlessly when everything feels urgent
- Clear communicator in English and Hindi (written and verbal)
Good to have:
- Worked in a small agency or startup where you wore multiple hats
- Experience with performance marketing or e-commerce projects
- Familiarity with tools like Asana, ClickUp, Monday, Notion, Slack
What success looks like:
- Month 1: You've mapped all current projects, set up a PM system, and are tracking everything in one place
- Month 3: Deadlines are being met consistently, the founder isn't spending hours on planning/follow-ups, quality issues are caught before client sees them
- Month 6: Projects run smoothly without daily firefighting, team knows what to do without constant direction, we can take on 2-3 more projects without chaos
