Job Description

We're Hiring | Project Coordinator / Engineer

• Location: Bengaluru, India

• Experience: Freshers to 2 years

• Department: Program Management Office (PMO)

• Education: BE / BTech / Diploma in Electrical, Mechanical, Production or Industrial Engineering

1. Role Overview

The Project Coordinator / Engineer is a high-visibility boots-on-the-ground operational role. The candidate will be responsible for assisting PMO in driving daily project execution, updating planning schedules and clearing project bottlenecks. The primary mission is to ensure that tasks move seamlessly across departments from initial hardware, mechanical and software design to material procurement, quality clearance, prototype/product builds and final field deployment.

2. Key Responsibilities

(a) Project & Timeline Planning: Assist the PMO in mapping out detailed project plans, breaking down master schedules and Work Breakdown Structures (WBS) and establishing baseline delivery timelines for multiple parallel tracks.

(b) JIRA Management & Task Monitoring: Own the daily update and monitoring of project tasks within JIRA. Ensure all engineering and operational workflows are accurately captured, assigned, and tracked to closure, including monitoring task statuses, time estimates and log and managing proactive workflows.

(c) Material Planning & Coordination: Assist in material requirement planning by tracking the Bill of

Materials (BOM), creating and updating dedicated material trackers, monitoring procurement Purchase Order (PO) releases and subsequent deliveries, tracking inventory/stores transactions and forecasting potential shortages for prototype and subsequent production builds.

(d) Project Documentation & Technical Records: Track and organize all engineering documents to

ensure end-to-end milestone traceability. You will manage and follow up on design documents including Functional (FRD), System/Software (SRD) ,Hardware Requirements (HRD), High-Level Design Documents (HLDD) and Interface Control Documents (ICDs) alongside project governance documents like Work Authorizations and the Requirements Traceability Matrix (RTM). Additionally, you will handle all testing records, including multiple Test Plans, Test Reports, Factory Acceptance Test (FAT) Reports and Environmental Test Plans.

(e) Meeting Governance & Follow-ups: Attend project review meetings, capture highly accurate Minutes of Meetings (MoMs) and aggressively track individual action items across multiple departments until full closure.

(f) Supply Chain & SCM Tracking: Track the procurement supply chain channels and monitor vendor deliverables to ensure long-lead components and fabrication activities remain strictly on schedule.

(g) QC & Testing Follow-Up: Follow up closely with the Quality Control (QC) department, expediting component inspection activities and testing clearances to eliminate production bottlenecks and assembly delays.

(h) Risk Flagging & Reporting: Proactively identify operational constraints, material risks and timeline skips, update project risk registers and assist the PMO in drafting and executing risk mitigation plans.

(i) Customer Interaction Support: Assist in preparing comprehensive project health status reports,

coordinating client updates and tracking customer queries and feedback.

3 Key Skills & Competencies

3.1. Hard Skills & Technical Proficiency (Willingness to Learn is Key)

(a) Foundational Education: A degree or diploma in Electrical, Mechanical, Production or Industrial

Engineering.

(b) Basic Tools: Comfortable with MS Excel, Power Point and Google Sheets (sorting, filtering and data tracking). Prior exposure to JIRA or MS Project is a bonus, but not mandatory.

(c) Engineering Lifecycle Awareness: A basic understanding of how hardware, software, and mechanical designs progress from a concept into a prototype build and final factory manufacturing is a bonus.

(d) Operational Documentation: Ability to compile technical updates, metrics and data points into clean, organized daily/weekly status reports and structured documentation folders.

3.2. Soft Skills & Behavioral Traits

(a) Relentless Learning Mindset: An absolute eagerness to learn new project management tools and frameworks, technical contexts and defence manufacturing standards quickly.

(b) Exceptional interpersonal skills with a persistent approach to chasing busy design engineering

members, engineering leads, SCM teams, Stores, and assembly floor supervisors/ technicians for regular project updates and bottleneck resolutions.

(c) High Adaptability: The ability to rapidly switch context between multiple parallel programs throughout the day without losing track of minor technical details, documentation updates or deadlines.

(d) Proactive Problem-Solving: A sharp eye for identifying project and timeline risks before they become critical bottlenecks, alongside the willingness to flag and escalate them early.

(e) Clear Communication: Excellent verbal and written communication skills tailored for precise internal engineering summaries and professional client correspondence.
