We are looking for a Product Operations Intern who will help us ensure that the processes designed inside Suitable AI are actually being followed by the operations and delivery teams.
This role sits at the intersection of product, operations, quality assurance, and process implementation
.
Your job will be to observe daily workflows, audit trackers, check whether SOPs are being followed, identify gaps, and help improve the way our product and operations teams work together.
You will not just follow up with people. You will help us build discipline, visibility, and quality into our operating system.
Key Responsibilities
1. Process Implementation
Audit
- Check whether the defined process is being followed across candidate sourcing, screening, calling, AI interviews, scheduling, submissions, and follow-ups.- Verify if each candidate is moved to the correct stage in the system/tracker.- Ensure mandatory fields, tags, remarks, and feedback notes are being updated properly.- Identify where team members are skipping steps or following inconsistent practices.
2. Product Workflow QA
- Review whether product workflows are being used correctly by the operations team.- Track gaps between the intended product flow and actual usage by recruiters/ops users.- Identify friction points where the team is unable to follow the process because of product limitations, unclear SOPs, or human error.- Share structured feedback with the product/team leads to improve workflows.
3. Daily Tracker & Data Hygiene Checks
- Audit candidate trackers, role trackers, client trackers, and internal dashboards.- Check whether status updates are accurate and timely.- Ensure rejection reasons, call outcomes, interview feedback, and client submission details are properly recorded.- Highlight missing, duplicate, outdated, or incorrect entries.
4. SLA & Follow-Up
Monitoring
- Monitor whether candidate follow-ups, recruiter actions, client updates, and interview scheduling steps are happening within defined timelines.- Track delays and missed handoffs.- Escalate repeated process misses to the reporting manager in a structured way.
5. Reporting & Scorecards
- Prepare daily/weekly process compliance reports.- Create simple scorecards for recruiter-wise, role-wise, and client-wise process adherence.- Highlight recurring issues, bottlenecks, and improvement opportunities.- Maintain a log of SOP deviations and product/process gaps.
6. SOP Improvement Support
- Help document new SOPs and improve existing process documents.- Convert repeated mistakes into checklist items.- Suggest simple improvements to make processes easier to follow.- Support the team in creating a more scalable and repeatable operating system.
