Phenom is seeking an experienced and detail-oriented Procurement Specialist - Software Procurement to join our growing team. This role involves managing end-to-end software purchasing activities, negotiating with vendors, handling renewals, coordinating internal approvals, and ensuring cost optimization across software contracts and subscriptions.
The ideal candidate should have hands-on experience working with software vendors, licensing models, contract negotiations, and cross-functional teams such as Security, Privacy, Legal, Finance, and IT.
Key Responsibilities( What You Will Do )
- Sourcing & Evaluation: Research, evaluate, and source software/SaaS solutions aligned with business requirements and technical specifications.
- Negotiation & Contracting: Lead pricing, commercial terms, renewal, and contract negotiations with software vendors to maximize value and minimize risk.
- Procurement Execution: Manage the full procurement lifecycle from Purchase Request (PR) to Purchase Order (PO) within ERP/procurement systems.
- Renewal & Lifecycle Management: Track and manage software renewals, subscriptions, invoicing, and post-PO activities; maintain renewal calendars and escalation protocols.
- Cross-Functional Coordination: Drive approval workflows with Security, Privacy, Legal, Finance, and IT teams; ensure all governance checkpoints are completed.
- Inventory & Documentation: Maintain an accurate software inventory, licensing records, entitlements, and centralized contract documentation.
- Cost Optimization: Monitor actual software usage against licensed entitlements; identify and recommend license optimization, consolidation, and cost-saving opportunities.
- Stakeholder Engagement: Partner with internal business units to understand procurement needs, evaluate alternatives, and provide data-driven recommendations.
- Compliance & Policy: Ensure all purchased software adheres to company procurement policies, security standards, and regulatory requirements.
- Market Intelligence: Stay current on software licensing trends, SaaS pricing models, and vendor market dynamics to inform negotiation strategies.
Qualifications, Experience & Skills
- B.Tech graduate in any discipline is preferred.
- 3 to 5 years of experience in software/SaaS procurement is desirable.
- Strong understanding of software licensing, SaaS contracts, and vendor management.
- Experience in contract negotiation and commercial discussions with vendors.
- Experience managing end-to-end procurement activities in ERP/procurement systems.
- Good analytical, reporting, and presentation skills.
- Strong communication, negotiation, and organizational skills.
- Ability to coordinate effectively with cross-functional stakeholders (Security, Privacy, Legal, Finance, IT).
- Exposure to AI tools and AI-driven procurement or productivity solutions is an added advantage.
