Job Description

A procurement professional responsible for end-to-end purchase operations, including PO creation, vendor coordination, and documentation management. Ensures timely invoice validation, payment follow-ups, and smooth communication between vendors and internal teams. Supports procurement reporting, order tracking, and operational issue resolution. Maintains strict compliance with procurement policies and audit requirements. Adept at handling tasks in fast-paced, cross-functional environments. The role involves managing daily procurement activities such as preparing purchase orders, maintaining records, and coordinating with vendors for quotations, deliveries, and payments. The candidate will work closely with finance and internal departments to ensure accurate documentation, GRN tracking, and timely issue resolution. Responsibilities include monitoring procurement timelines, generating reports, and ensuring adherence to SOPs and compliance standards. Requires strong knowledge of procurement processes, proficiency in Excel/Sheets, ERP tools, and the ability to multitask effectively.

Roles and Responsibilities

Key Responsibilities

• Purchase Order (PO) Creation & Management: Prepare and process purchase orders, ensuring accuracy and timely approvals.
• Documentation & Data Management: Maintain procurement records, vendor documents, contracts, and compliance files.
• Invoice Validation & Payment Coordination: Work closely with Finance for invoice verification, GRN tracking, and payment follow-ups with vendors.
• Vendor Coordination: Support communication with existing vendors to obtain quotations, clarify requirements, and follow up on deliveries.
• Cross-Department Coordination: Collaborate with internal teams (operations, finance, admin, engineering, etc.) to gather requirements and resolve day-to-day queries.
• Procurement Support: Assist in generating reports, tracking orders, monitoring timelines, and resolving any operational bottlenecks.
• Process Compliance: Ensure adherence to procurement policies, SOPs, and audit requirements..

Skills & Expertise

• Bachelor's degree in Supply Chain, Business Administration, Commerce, or a related field.
• 12 years of experience in procurement, purchasing, or supply chain operations (startup or fast-paced environment preferred).
• Strong understanding of procurement processes (POs, invoices, vendor communication, GRN).
• Proficiency in MS Excel / Google Sheets, ERP tools, and documentation workflows.
• Ability to multitask, prioritize, and work with cross-functional teams.
