This role exists to ensure operational teams receive the materials they need without disruption while maintaining strong vendor relationships, inventory discipline, and commercial prudence.

A great Procurement Associate does more than raise purchase orders.

They coordinate across teams, follow through relentlessly, maintain data accuracy, and ensure every procurement decision supports operational efficiency and cost control.

Your mandate is clear

  • Ensure timely procurement of operational and project requirements
  • Coordinate effectively with vendors, warehouses, and internal stakeholders
  • Maintain procurement accuracy and process discipline
  • Support inventory availability and prevent stock disruptions
  • Build strong vendor relationships and ensure timely deliveries
  • Contribute to cost optimization through disciplined procurement practices

What you will be responsible for

1. Manage Procurement Operations

Support end-to-end procurement activities from material request to purchase order.

Coordinate with internal teams to understand procurement requirements.

Track procurement requests and ensure timely execution.

Support urgent and critical procurement requirements when needed.

2. Vendor Coordination & Follow-Up

Coordinate with vendors for quotations, deliveries, and documentation.

Ensure timely communication and follow-up on open orders.

Maintain vendor records and procurement documentation.

Support onboarding of new vendors and collection of required documents.

3. Inventory & Supply Support

Monitor material availability for assigned categories.

Coordinate with warehouse teams on stock availability and replenishment.

Support inventory planning to avoid stock shortages and excess inventory.

Escalate potential supply risks proactively.

4. Procurement Tracking & Reporting

Maintain procurement trackers with accuracy and discipline.

Update order status and delivery schedules regularly.

Generate procurement reports and data summaries.

Support reporting and analysis through Excel and procurement systems.

5. Cost & Process Discipline

Compare quotations and support vendor evaluation activities.

Follow procurement policies, approval workflows, and documentation standards.

Maintain audit-ready procurement records.

Support initiatives that improve procurement efficiency and cost control.

6. Stakeholder Coordination

Work closely with Operations, Projects, Warehouse, Finance, and Vendor teams.

Ensure procurement timelines align with business requirements.

Provide regular updates on procurement status and delivery commitments.

Support smooth execution across multiple ongoing requirements.

  • Minimal stock-outs due to procurement delays
  • Strong follow-up discipline with vendors and stakeholders
  • High accuracy in procurement trackers and documentation

Experience we value

For Freshers

  • Bachelor's degree in Commerce, Business Administration, Supply Chain, Operations, or related fields
  • Strong learning agility and willingness to build a career in procurement
  • Basic Excel proficiency
  • Good communication and coordination skills

For Experienced Candidates

  • 1–4 years of experience in Procurement, Purchase, Supply Chain, Inventory, Warehouse Coordination, or Operations Support
  • Exposure to procurement processes and vendor coordination
  • Experience working with procurement trackers, inventory monitoring, or purchase orders
  • Familiarity with ERP or procurement management systems is preferred

Experience in hospitality, real estate, facility management, retail, project procurement, or supply chain operations will be an advantage.

Ownership, discipline, and follow-through are more important than years of experience alone.
