Job Description

Role Objective

The Process Coordinator will be responsible for driving operational excellence across the organization by owning the execution and maintenance of internal workflows, systems, and processes. This role ensures that teams operate efficiently through structured project management, process governance, and cross-functional coordination while continuously identifying opportunities for automation, optimization, and scalability using modern AI and workflow tools.

Key Responsibilities

  • Manage and maintain ClickUp workspaces across departments, ensuring task hygiene, reporting accuracy, workflow consistency, and adherence to operational standards.
  • Monitor project progress, follow up with stakeholders, and ensure timely completion of tasks and deliverables.
  • Identify process gaps, bottlenecks, inefficiencies, and broken handoffs, and proactively recommend structured improvements.
  • Coordinate cross-functional initiatives, ensuring seamless communication and execution between teams.
  • Maintain operational documentation, SOPs, audit records, process trackers, and internal knowledge repositories.
  • Support leadership with reporting, workflow analysis, and execution tracking.
  • Design, build, and optimize AI-powered workflows and automation solutions using tools such as n8n and LLM-based platforms.
  • Explore opportunities to automate repetitive processes, improve team productivity, and enhance operational visibility.
  • Establish and maintain scalable systems that improve organizational efficiency and accountability.

Required Skills & Qualifications

Technical Skills

  • Hands-on experience with project management and collaboration platforms such as ClickUp, Asana, Trello, or similar tools.
  • Strong understanding of workflow design, process mapping, and operational management.
  • Practical experience building AI agents and implementing automation solutions from scratch.
  • Working knowledge of Large Language Models (LLMs), AI tools, prompt engineering, and workflow automation platforms such as n8n.
  • Proficiency in creating structured documentation, SOPs, reports, and process dashboards.
  • Familiarity with digital marketing, performance marketing, or creative agency environments is preferred.
