Job Description- Process Associate to the CEO
Position Overview The Process Associate to the CEO plays a critical role in ensuring the smooth functioning of the CEO's office by providing high-level administrative, operational, and coordination support. This position requires exceptional organizational skills, confidentiality, professionalism, sound judgment, and the ability to represent the CEO with confidence and maturity.
Key Responsibilities:
• Act as the primary point of contact between the CEO and internal/external stakeholders.
• Screen and manage phone calls, emails, messages, and official communication.
• Prioritize and handle incoming requests with discretion and professionalism.
• Manage the CEO's calendar, appointments, meetings, and travel schedules
• Coordinate meetings, travel, and logistics.
• Prepare agendas, reports, presentations, executive correspondence, and Minutes of Meetings (MoMs).
• Maintain confidential records, files, and documentation.
• Follow up with internal and external stakeholders on action items and reports.
• Welcome and coordinate VIP guests and visitors.
• Represent the CEO in meetings or communications when delegated
• Prepare PowerPoint presentations and business documents.
• Coordinate personal scheduling and confidential administrative matters as assigned.
• Updating and maintaining Sales tracker Professional Conduct & Workplace Expectations The Process
Associate represents the CEO's office and is expected to:
• Demonstrate professionalism, maturity, and integrity.
• Communicate courteously with employees, clients, and visitors
• Maintain confidentiality at all times.
• Be punctual, proactive, and accountable. Professional Appearance The Process Associate serves as an extension of the CEO's office. Accordingly, maintaining a consistently professional image and conduct is an essential aspect of the role.

The Process Associate is expected to:
Wear formal or business-professional attire.
• Maintain neat, well-groomed hair and an overall tidy appearance. • Present themselves in a fresh, confident, and professional manner.
• Maintain good personal hygiene.
• Ensure overall grooming reflects the professional standards of the organization.
Key Skills & Competencies
• Proven Process Associate experience (2–4 years preferred).
• Excellent organizational, communication, and time management skills.
• High level of confidentiality and discretion.
• Strong Microsoft Office and Google Workspace proficiency.
• Tech-savvy with excellent presentation and documentation skills.
Qualification
