Job Description

Location: Remote

Work Type: Full-Time

Schedule: Tuesday to Saturday, 1:30 AM to 10:30 AM IST

About the Role

A California law firm is looking for an exceptionally accurate, self-directed remote professional to prepare fiduciary court accountings and the complete filing packages that go with them. You will take each matter from raw financial records to a filing-ready package covering probate, conservatorship, trust, and Public Administrator accountings. You'll work under a licensed California attorney and senior staff, using firm templates, and you'll flag anything that needs legal judgment rather than guessing.

Schedule

Fully remote, Tuesday to Saturday, 1:30 AM to 10:30 AM IST. This overlaps with the firm's California workday (Monday to Friday, about 1:00 PM to 10:00 PM PDT / 12:00 PM to 9:00 PM PST), so you'll have real-time access to the attorneys and senior staff.

What You'll Do

  • Review the electronic case file and build a matter-opening checklist of received and missing records, deadlines, and open questions
  • Code and reconcile bank, brokerage, escrow, and sale records into accounting schedules, with no unexplained variances
  • Draft petitions, reports, and proposed orders from firm templates, using placeholders and issue lists instead of assumptions
  • Assemble the full filing package (declarations, notices, proofs of service, exhibits, bookmarks) in Word and PDF, with a short completion memo of open items
  • Send concise status updates and raise questions early

Must Have

  • 3+ years in a legal-assistant, paralegal, fiduciary-accounting, bookkeeping, audit, or similar document-intensive role. A mix of legal and financial experience is strongly preferred.
  • Proven experience preparing or reconciling financial schedules from bank statements and source records, with exact balancing and no forced figures
  • Experience drafting or assembling formal legal documents for U.S. law firms, courts, fiduciaries, financial institutions, or regulated professional services

Technical skills

  • Advanced Microsoft Excel: formulas, filters, sorting, date handling, reconciliation, and error checking
  • Advanced Microsoft Word: formatting, tables, page numbering, and template-based drafting
  • Advanced Adobe Acrobat or comparable PDF software: bookmarks, redaction, combining files, and quality control

Core abilities

  • Excellent written English, with the ability to draft precise legal and financial narratives
  • Exceptional attention to detail and numerical accuracy, with every figure traceable to a source document
  • Ability to work independently from written templates and instructions, and to recognize when legal judgment or clarification is needed
  • Strong issue-spotting: missing records, statement gaps, duplicate payments, unusual transactions, and inconsistencies
  • Strong organization and follow-through, including meeting deadlines and communicating early when something is blocked

Nice to Have

  • U.S. probate, trust, estate, guardianship, conservatorship, elder law, fiduciary administration, or Public Administrator matters
  • Preparing fiduciary, estate, trust, or court accountings, or audit workpapers

California familiarity

  • California legal documents, Judicial Council forms, probate pleadings, or California court filing procedures

Team and tools

  • Supporting a professional fiduciary, probate or trust attorney, accountant, auditor, or estate-administration team
  • Legal case-management systems, cloud document platforms, secure remote desktops, or time-entry systems

Education

  • Formal education in law, legal studies, accounting, finance, business, or audit
