Job Title: PMO-Governance & Administrative Support-Sr Analyst

Role & Responsibilities:
Key responsibilities include:
- Support the execution of IT Planning governance frameworks, internal policies, approval processes, and control routines across project, vendor, procurement, expense, and compliance activities.
- Coordinate governance meetings, including agenda preparation, meeting minutes, action tracking, and follow-ups with stakeholders and leadership teams.
- Maintain accurate governance documentation, SharePoint repositories, approval trackers, budget records, vendor files, audit logs, evidence packs, and working papers.
- Prepare presentations, management reports, dashboards, metrics, and periodic updates for Finance, Risk, Compliance, Procurement, Head Office, regional teams, and other stakeholders.
- Support vendor and contract governance activities, including renewals, contract reviews, due diligence, outsourcing risk assessments, and documentation tracking.
- Coordinate procurement and financial administration, including purchase orders, invoice processing, payment follow-ups, business travel administration, and related records.
- Monitor compliance with internal policies, documentation standards, approval protocols, governance requirements, and submission timelines.
- Identify and escalate delays, documentation gaps, approval issues, and policy deviations to the HOD and relevant stakeholders for appropriate action.
- Drive standardization of trackers, process documentation, reporting routines, and audit-ready records while identifying opportunities for process improvement and automation.
- Stay current with applicable internal policies, outsourcing standards, procurement procedures, regulatory requirements, and governance expectations to ensure ongoing compliance.
Qualifications
- Bachelor's degree in Business Administration, Management, Engineering, Information Technology, or a related discipline a Master's degree or MBA is strongly preferred.
- 5+ years of relevant experience in governance, IT operations, IT planning, administrative support, compliance, vendor management, finance operations, audit support, or project coordination.
- Strong organizational and coordination skills, with excellent attention to detail and the ability to manage multiple priorities effectively.
- Proven experience maintaining accurate trackers, repositories, evidence packs, documentation logs, governance records, and audit-related documentation.
- Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Word experience with SharePoint, Confluence, ServiceNow, or similar workflow and document-management platforms is an advantage.
- Excellent written and verbal communication skills, with the ability to prepare concise emails, meeting minutes, follow-up communications, reports, and management-ready summaries.
- Strong stakeholder management skills with the ability to collaborate effectively across local, regional, and global teams.
- Demonstrated ownership and accountability for assigned deliverables, ensuring timely completion and adherence to governance requirements.
- Proactive and solution-oriented approach, with a willingness to identify process gaps, recommend improvements, and support operational efficiency.
- Adaptable and eager to learn, with the ability to work effectively in a structured governance environment and contribute to continuous process improvement and operational discipline.
