Description

The Personnel Admin - HR Shared Services (HRSS) role is responsible for managing HR administrative functions, ensuring compliance, and providing support to employees in a shared services environment.

Responsibilities

1.     Centralization of Employee Data

·      Handling the entire centralization process/ data for all CX employees.

 

2.     Policy and SOP Adherence

·      Ensures to follow company policies and standard operating procedures (SOPs).

·      Ensure personal compliance with all Company policies.

 

3.     Document Validation:

·      Approve various document requests, eg: Home Address Proof, Marital Status Change, PR Update Status, Passport Name Change, Add Dependents, Update Dependent, Vaccination, Visa/Work Permit etc.

 

4.     System Management:

·      Work with team to prioritize tasks and address system-related issues.

·      Collaborate within the team for document validation clarifications and ensure all guidelines are followed.

·      Facilitate updates to employee information on the HR system, ensuring accuracy and efficiency.

 

5.     Beneficiary Management:

·      Process addition or deletion of staff beneficiaries in accordance with Company policy.

·      Ensure timely and accurate handling of all beneficiary requests, maintaining privacy and compliance.

 

6.     Communication and Collaboration:

·      Collaborate with Supervisor for document checks.

·      Utilize CMS for effective communication with employees, providing detailed information for document approval.

 

7.     Data Privacy:

·      Act as the custodian of employee data, ensuring adherence to the Company's NDA policy.

·      Maintain data privacy in accordance with Company guidelines.

 

·      Administration

·      Proper handling of work based on the influx of requests to ensure TAT's and SLAs are met.

·      Manage the day-to-day administration of the workload to ensure completion of tasks within the defined TAT's.

·      Maintain daily & weekly data of tasks performed.

Skills and Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 3-8 years of experience in HR administration or shared services environment.
  • Proficient in HRIS systems and MS Office Suite (Excel, Word, PowerPoint).
  • Excellent communication and interpersonal skills for effective collaboration.
  • Strong organizational skills with the ability to prioritize tasks effectively.
