Role Overview
We are seeking a highly capable, sharp, and execution oriented Executive Assistant to provide strategic, administrative, and operational support to the Founder.
This role is focused on business coordination, stakeholder management, meeting governance, and operational follow-through, not personal errand management. The ideal candidate will act as an extension of the Founder's office, ensuring structure, clarity, and execution across internal and external priorities.
Key Responsibilities
Executive & Strategic Support
- Manage Founder's calendar, business priorities, and scheduling alignment
- Prepare meeting briefs, summaries, and action trackers
- Draft professional communication on behalf of the Founder
- Ensure follow-ups and execution across key business initiatives
Meeting & Stakeholder Management
- Organise and manage internal team meetings and leadership reviews
- Coordinate and support client meetings, including documentation and follow-ups
- Communicate confidently with international stakeholders across time zones
- Track deliverables and ensure accountability across teams
Operational & Project Coordination
- Support ongoing business projects with structured tracking and reporting
- Assist in workflow management and cross-functional coordination
- Maintain organised documentation and reporting systems
- Work closely with different departments to ensure smooth execution
Technology & Process Enablement
- Utilise multiple AI tools for drafting, research, summarisation, and workflow optimisation
- Improve processes through digital tools and automation where possible
- Maintain structured dashboards and shared tracking systems
Required Skills & Experience
- 37+ years experience as an Executive Assistant / Founder's Office / Business Support role
- Strong exposure to team coordination and structured meeting management
- Experience handling client-facing interactions and business communication
- Comfortable engaging with international stakeholders
- Solid understanding of operational workflows and structured project tracking
- Excellent written and verbal English communication skills
- Advanced working knowledge of multiple AI and productivity tools
- Strong decision-making ability with sound business judgment
