Role OverviewThe Personal Assistant (PA) will provide high-level executive and administrative support to the Director of 4K Sports Infra Pvt. Ltd. This role requires exceptional organizational skills, confidentiality, and the ability to manage multiple priorities in a fast-paced sports infrastructure business environment. The PA will serve as the right hand to the Director, ensuring effective coordination, communication, and execution of business and personal tasks.
Key ResponsibilitiesExecutive Support- Manage the Director's daily calendar, schedule meetings, and coordinate appointments.
- Organize and prepare for internal and external meetings, including drafting agendas, preparing presentations, and recording minutes.
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Handle confidential documents and maintain strict confidentiality at all times.
Business Coordination- Assist in reviewing contracts, proposals, quotations, and official documents before submission.
- Coordinate with departmental heads (Sales, Engineering, Procurement, Marketing, HR, Finance) to ensure timely updates and reports to the Director.
- Track project progress, deadlines, and follow-ups on behalf of the Director.
- Conduct research, prepare business reports, and assist in decision-making with relevant data.
Administrative & Travel Management- Manage travel itineraries, hotel bookings, and logistics for business trips and site visits.
- Organize events, client meetings, and conferences on behalf of the Director.
- Handle expense tracking, reimbursements, and petty cash management for Director's office.
Communication & Correspondence- Draft, review, and manage official communication (emails, letters, memos, notices).
- Liaise with clients, government bodies, and partners professionally on behalf of the Director.
- Ensure timely reminders and updates for critical follow-ups.
Personal Assistance (as required)- Assist in managing certain personal commitments of the Director.
- Provide flexible support during extended work hours, site visits, and client meetings.
Qualifications & Skills- Education: Graduate/Postgraduate in Business Administration/Commerce/HR/Equivalent.
- Experience: 36 years as an Executive Assistant/Personal Assistant in a corporate environment (experience in construction, infrastructure, or sports industry preferred).
- Skills Required:
- Strong organizational and multitasking ability.
- Excellent verbal and written communication skills (English, Hindi, and Telugu preferred).
- High proficiency in MS Office (Word, Excel, PowerPoint), email drafting, and business correspondence.
- Strong coordination, discretion, and problem-solving skills.
- Ability to work under pressure with tight deadlines.
- Professional demeanor with client-facing ability.
